Job description

Scone Parish is in search of a secretary to provide administrative support to the Parish Priest. As the first point of contact, the Parish Secretary will welcome and assist all visitors to the office. Responsibilities include coordinating office procedures, maintaining the Parish Database, managing Parish Finances, maintaining Parish Sacramental records, and overseeing the content of the Parish website.

Scone Parish is currently seeking a skilled and experienced Accounts and Administration Officer (Parish Secretary) to join our team on a permanent part-time basis (16 hours per fortnight). Reporting directly to the Parish Priest, this role plays a crucial part in providing clerical and administrative support to ensure the efficient operation of the Parish Office.

As the Parish Secretary/Administrative Assistant, you will be the primary point of contact for visitors to the parish office, welcoming and assisting them as needed. Additionally, you will be responsible for coordinating office procedures and overseeing specific projects and tasks, including maintaining the Parish Database, managing Parish Finances, upkeeping Parish Sacramental records, and managing the content of the Parish website.

The incumbent commits to working within Work Health and Safety guidelines and Code of Conduct at all times whilst in the employ of the Catholic Diocese of Maitland-Newcastle.


  • Excellent organisational and problem-solving skills
  • Capacity to coordinate and/or oversee various Parish events or ministries
  • Prepared to work effectively with the local Catholic school particularly and to liaise with the Government schools as necessary
  • Energetic and highly motivated with initiative and capacity to work with minimum supervision
  • Demonstrated experience in the use of Content Management Systems (CMS) and Xero accounting software
  • Use discretion and confidentiality with sensitive information
  • Well-developed communication and liaison skills being a front line
  • Welcome and ability to liaise with parishioners, school staff, young families, community welfare providers and suppliers.
  • Familiarity with PADRE parishioner and sacramental records system - Desirable

Qualifications

  • Tertiary Qualifications in Office Administration or relevant experience working in an administrative capacity
  • Current Working With Children Check for paid employment
  • Current Class C Driver’s Licence
