Position Summary

Based in Head Office in Toorak, and reporting to the Financial Controller the Payroll Manager will provide “hands-on” ownership of the end-to-end payroll process, ensuring it runs smoothly and accurately on a fortnightly and monthly basis. The role will be focused on consistently actioning and meeting company payroll deadlines, producing payroll reports, identifying efficiencies and implementing process and/or system enhancements. Accuracy, responsiveness, and excellent internal client service delivery skills are also key expectations of the role.

Key Responsibilities include but not limited to:

  • Ensure the accurate and timely preparation and processing of payments to staff as per employment contract, relevant Awards, and legislative requirements.
  • Process, review and finalise end to end Fortnightly Retail Payroll – 100 + employees using T & A Software.
  • Process, review and finalise end to end Monthly HO Payroll – 40 + Autopay employees. 
  • Reconciliation of payroll tax, Workcover and PAYG.
  • Reconciliation and payment of superannuation using clearing house.
  • Preparation of the authorization package for fortnightly/monthly payroll (including exception reporting) together with compliance with authorization policies.
  • Manage all payroll aspects of new starters, salary packaging and salary sacrifice, LSL, redundancies, terminations, and payment of commissions.
  • Maintain the accuracy of pay records, and ensure that all leave requests are processed and approved in accordance with company policy.
  • Manage month end reconciliations and preparing management and statutory reports.
  • Ensure employee calculations (e.g. terminations) are accurate and processed correctly.
  • Coordinate payment of PAYG, payroll tax, superannuation, and workers' compensation.
  • Maintain appropriate systems of internal controls over payroll processing, including up to date policies and processing requirements.
  • Review of current internal control systems including identification of process improvements. Identification and creation of all missing documented policies.
  • Implement and Project manage the migration to a new payroll system.
  • Be the point of escalation for employee payroll issues, ensuring that payroll inbox queries are adequately addressed in a timely manner.
  • Provide updates pertaining to payroll - regulatory and legislation related - to relevant stakeholders (finance, HR, staff).
  • Manage all end of financial year PAYE processes (ATO Files, payment summaries).
  • Regularly review processes to identify, develop and implement process improvements.
  • Manage projects related to new payroll system implementations and related process improvements.
  • Compilation of key payroll reports such as monthly headcount movement reporting by cost centre (FTE & $), boutique and rostering insights).
  • Support and collaborate with HR for all OH&S administration and reporting matters.
  • Validate accuracy of all payroll data through internal audit review.
  • Build and maintain relationships with a broad range of internal and external stakeholders.

Qualifications and Experience

  • Demonstrated success in managing standalone payroll position taking on end of pay and month-end responsibilities.
  • Demonstrated experience to complete project driven-work around payroll governance, compliance, best-practice, processes, systems etc.
  • Experience in the use of ADP Payforce is highly desirable. 
  • Knowledge of Fair Work ACT and experience in interpreting Modern Awards and General Retail Award.
  • Exceptional communication skills as you will be liaising with your HR and Finance colleagues, vendors, and employees.
  • A strong eye for detail and reviews data and processes critically, addressing challenges when they arise.
