What this opportunity involves:
The objective of Portfolio Program Management is to ensure the proactive planning of our Client’s property portfolio, meeting both their current and forecasted future needs. Portfolio planning needs to be dynamic to ensure our Client’s property portfolio aligns to its strategy and meets their Experience Ambitions and initiatives.
This role will provide our Client with strategic support, co-ordination and operational program management services. This means coordinating and implementing delivery of the Services in a way that achieves their business objectives and represents industry best practice.
You will act as a central function to co-ordinate all stakeholder requirements/ objectives and create a win-win narrative. Span of this role will be across a variety of asset classes including our client’s corporate offices, retail, business technology centres, depots, etc.
Snapshot of the role:
Portfolio Strategic Planning Assist in developing and delivering to the Portfolio Strategic plan.
Develop and provide rolling 5 year non-Network Portfolio Strategic Plans for each property category based on lease horizons, trigger dates and expiries updated annually to provide ongoing strategic portfolio level transaction direction.
Formulate and reconcile corresponding 5-year Business Plans that are profiled by financial year comprising historical and forecast costs, existing initiatives, new initiatives.
Develop Business Cases, stakeholder advice, market research and all subsidiary plans listed below or as may be requirements including income, expenses and capital requirements, statutory requirements and provide the Business Plans and reconciliations to the client
Consider all issues relevant to managing and monitoring the investment performance of the property portfolio
Identify and notify Client of any factors (e.g. legislation, deferred works, reduction or increase in works, new or amended Service Provider or Telstra standards or policies) that will impact their business and risk profiles.
Delivering optimum commercial outcomes for all leasing negotiations and meeting all annual leasing financial and qualitative targets
Portfolio Governance Tracking Property Management critical date scheduling.
Financial modelling for all portfolio changes or maintain options being considered
Integrated Program Management scheduling and coordinating all portfolio management activities.
Program Management Implementation Develop a delivery plan agreeing and documenting the agreed objectives, required timeframes, resource limitations, and budget
Engage and coordinate all activities of all relevant Stakeholders, Property Services teams and Third-Party Suppliers/ Subcontractors
Monitor, review and communicate progress to relevant parties
Manage schedule, cost, and quality in line with stakeholder expectation.
Identify risks and develop contingency plans
Ensure compliance in line with Lease conditions and terms.
Program Reporting & Close Out Provide periodic reporting on status and risks
Ensure all assigned tasks are completed to the Client’s requirements and standards particularly accommodation benchmarks, HSE, lifecycle management, time cost and quality, and governance framework.
Ensure all statutory documentation and approval requirements have been met.
Manage the formal handover of the completed work on completion.
Conduct a Post Implementation Review (PIR) to ascertain stakeholder satisfaction and identify any weaknesses in delivery, Client’s processes, etc.

Tertiary qualification (Real Estate / Property / Business / Law discipline)
Demonstrable experience in managing multiple clients and JLL Head office stakeholders and delivering positive outcomes in a client-facing real estate organisation.
Demonstratable experience in Program Management, Governance, accurate and timely reporting and delivering ad-hoc client reports.
Demonstrates the ability to maintain, manage and report accurate transaction and financial data across a large and complex portfolio.
Experience with lease administration, Property Management/ Operations and sub-tenancy engagement.
Ability to deal with ambiguity and address complex problems within an ever-changing environment Leadership of transaction functions that encourage an environment that supports teamwork, cooperation, performance excellence and personal success.
Excellent planning and organisational skills to prioritise work and meet tight deadlines.
