The opportunity

An exciting opportunity is currently available for an experienced, engaging, dynamic and organised Practice Manager to join our team at our new clinic in Malvern East.

This role’s primary objective is to manage all non-clinical elements of the business. 

You will assist the Directors in operational business tasks and will lead and mentor the Steps administrative team. 

The position is full-time (40 hours per week).

Key Responsibilities

  • Lead the Administrative Team – lead and mentor the Steps administrative staff (currently a team of 3), communicate effectively with all team members, run regular meetings, recruitment, participate in performance management
  • Finance -manage day to day operational finances of the business, debt collection, managing car leases and business insurances, dashboard and finance entry and assisting the director with growth strategies
  • Management of clinical Incidents - assist the clinicians in the event of a medical emergency at the clinic 
  • WHS officer –assist in the compliance of occupational health and safety standards and develop protocols
  • HR and Payroll – Process payroll on a monthly basis, assist with onboarding of new clinical and administrative staff, manage leave requests for all staff 
  • Compliance – ensure compliance documents for all staff are relevant and current and Steps policies are updated and read by all staff through Employment Hero
  • System optimisation – assist directors in ensuring the systems in place are as efficient as possible by updating manuals and workflow procedures for the business, identifying areas for improvement, updating information on practice management software as needed
  • IT – assist in managing computer network and IT issues
  • Other Administrative Tasks – including oversee maintenance of the clinic, update administrative forms as required, oversee compensable clients’ processes, provide staff training for administrative process when required, manage and set up of Agency service agreement and compliance 

The Successful Candidate will have:

  • A Bachelor of Business Administration/Practice Management (or equivalent)
  • Previous experience in the Healthcare Industry
  • A Basic understanding of medical terminology
  • Excellent interpersonal skills
  • Excellent time management and prioritisation skills
  • Experience in leading a team
  • The ability to adapt to changing environments
  • A strong customer service focus
  • Good computer skills over multiple platforms
