Job description

We are looking for an experienced Project Administration Assistant to provide administrative support to our Roof Contracting teams within Skyline Roofing & Sheetmetal and FHRC. The position is a full-time permanent position based in Invermay (Launceston). Hours of work will be Monday – Friday 38 hour working week (start & finish times will be negotiated with the successful candidate). The position may require you to visit the Hobart office occasionally. 

Who are we?
Skyline Roofing & Sheetmetal was established in 1984, and has built a strong reputation for being the leading commercial roof contractor in Northern Tasmania. FHRC was purchased by the owners of Skyline back in 2019. FHRC is a well-established commercial roof contracting business operating in Southern Tasmania.

Responsibilities:
Both businesses manage the ‘Roof Contracting’ contract for the Department for Education, Children and Young People as well as Catholic Education Tasmania, and the tasks that the Project Administration Assistant will be responsible for:

  • Providing excellent customer service by coordinating directly with each Departments’ key contacts via email and phone; 
  • Accurately processing data entry, financial and administrative tasks including maintaining work order registers, quote registers, monthly billing sheets and quarterly reports with a high degree of accuracy and efficiency;
  • Efficiently upload work orders onto our web application and schedule labour accordingly;
  • Coordinate directly with the Facilities Maintenance Project Manager(s) and/or site team members to ensure that all contract obligations are met; and
  • Provide general administrative support by maintaining and filing all documentation related to both contracts.

As well as being responsible for the “schools’ contracts” the Project Administration Assistant will be responsible for providing general support to the Project Managers with tasks including:

  • Preparing timesheets for pay roll processing;
  • Creating purchase orders;
  • Approving bills against purchase orders; and
  • General filing of all documentation received to the server and hard folders.

Requirements:

  • Previous experience in project administration or related roles is preferred;
  • Strong organisational skills with the ability to prioritise tasks and meet deadlines in a fast-paced environment;
  • Excellent written and verbal communication skills, with the ability to interact professionally with diverse stakeholders;
  • Meticulous attention to detail to ensure accuracy in project documentation and reporting;
  • Proactive problem-solving skills with a solution-oriented mindset;
  • Collaborative attitude with the ability to work effectively within a team and independently when required; and
  • Proficiency in Microsoft Office Suite and project management software.

Note: We are also looking for an Administrative Assistant to work full time (38 hrs) who would perform duties such as; sales, admin and reception tasks, as well as high-level data entry tasks including job costing, pricing check on quoted vs spent, credit claims etc. for our roof contracting team.
