Job description

The Opportunity
Reporting to the Senior Animal Care Manager, the QOTT Grants and Sponsorship Officer is responsible for the delivery of Queensland Off-The-Track (QOTT) Program outputs to maximise post-racing opportunities for Queensland’s retired racehorses and support owners and riders of retired racehorses, including the day-to-day management of the QOTT Grants Program, Event Sponsorship Program and Safety Net Partnership.
Working collaboratively as part of the broader Veterinary Services and Animal Welfare (VSAW) team to implement approved QOTT Program actions and initiatives, the QOTT Grants and Sponsorship Officer plays an important role in the organisation’s broader operational and strategic objectives of improving aftercare outcomes for retired racehorses and ensuring the sustainability of the thoroughbred and harness racing industries.
Key Duties
  • Manage the day-to-day operation of the QOTT Grants Program, Event Sponsorship Program and Safety Net Partnership, in accordance with RQ and VSAW procedures and guidelines, and maintain effective records, governance standards and control measures.
  • Contribute to the review of grant funding and Sponsorship processes, and the evaluation of grant applications and grant funding activities.
  • Contribute to the development, planning, and execution of QOTT showcase events.
  • Provide timely and accurate information to internal and external QOTT Program stakeholders, and support grant recipients, to maximise the success and efficiency of the QOTT Grants Program, Event Sponsorship Program and Safety Net Partnership.
  • Monitor stakeholder feedback, trends, and risks, and provide reliable and transparent information about the operation of QOTT initiatives, including the QOTT Grants Program, Event Sponsorship Program, and Safety Net Partnership, to the Senior Animal Care Manager.
  • Contribute to the development of data repositories and dashboards across a range of QOTT Program metrics and maintain practices and procedures to ensure appropriate data capture, trend and benchmarking analysis, and records management.
  • Contribute to the creation, revision, and audit of QOTT processes and procedures.
  • Promote the QOTT Program and initiatives to stakeholders, including provision of content for use in media and marketing collateral.
  • Participate in QOTT Program promotional activities and events.
  • Contribute to building a supportive and cooperative team environment and share information and expertise across the broader VSAW team.
  • Provide other operational, administrative, and reporting support for the QOTT Program as determined by the Senior Animal Care Manager or EGM Veterinary Services and Animal Welfare, including contributing to the delivery of other QOTT Program initiatives when required.
The Success Profile
  • Extensive grants administration experience, including end-to-end management encompassing application processes, pre-award assessment, grants management and grant funding evaluation.
  • Racing and/or equestrian/horse sport industry experience is highly desirable.
  • Strong written and oral communication skills, and high-level attention to detail and accuracy.
  • Proven monitoring and evaluation skills, and the ability to maintain and interpret data, and identify trends and outcomes.
  • Experience in maintaining quality control and governance processes, including audits and continuous process improvement.
  • Strong ability to build trust and respect with team members and collaborate to achieve QOTT Program outcomes.
  • Exceptional interpersonal agility to manage competing needs of stakeholders, including the ability to use tact and diplomacy when managing conflict.
  • Strong ability to deal with complexity and ambiguity, work under pressure, show resilience and make effective decisions and recommendations.
