Job description

You are the person who will keep the office humming along.
The key responsibilities include: 

 Reception 

  • Create a welcoming and presentable reception and office environment.
  • Greet all visitors, answer incoming calls and emails, actioning and forwarding where appropriate.
  • Provide information on our services, referrals and other processes.
  • Managing office supplies including purchasing.
  •  Assist the CRS team with administrative tasks with administrative tasks
  • Maintain the office, kitchen, staff room and meeting rooms (by tidying cupboards, watering plants, undertaking light cleaning duties, and otherwise liaising with cleaners/building owner).
  • Performing ad hoc administrative duties.

Finance 

  • Accounts payable, accounts receivable and bank recs.
  • Payroll basic payroll processing to assist in times of leave. (training provided)
  •  Support the HR function with creation and maintenance of HR records.

Work Health and Safety

  • Undertake WHS Checks and maintain necessary registers.
  • Update Fire warden and first aid officer notices and maintain appropriate records.

Vehicles

  •  Ensure CRS Fleet cars are maintained by booking services, washing, and performing regular checks.
  • Obtain relevant records of drivers and notify insurer as necessary.
  • Maintain appropriate records in respect of CRS fleet cars.

Assisting CEO and Management
Provide support to CEO and Management as required including:

  • Arranging meetings, including catering and set up of the meeting room equipment.
  •  Support the Manager Alternative Dispute Resolution Services with intake and administrative functions.
  • Other duties as directed.

Location and hours

  • This position must be performed in the office in Phillip ACT.
  • The position will require flexibility in hours of attendance to support early morning or late afternoon meetings, generally between the hours of 7am and 7pm weekdays.  (i.e. sometimes you will need to come in early and leave early, and other days come in late and leave late).
  • This is a fixed term contract to 30 June 2026 with possible extension subject to Government Funding.

Your skills and attributes

  • Professional appearance and manner, suitable to a corporate style reception.
  • A “people person” with excellent interpersonal and communication skills 
  • Ability to multi-task, manage time and remain organised.
  •  Ability to work independently (including sitting at reception).
  • Proficient in Microsoft Office 365 including email, word, excel and teams.
  • Experience with Xero, HR and Case Management systems desirable.
  • Ability to be flexible and adapt to changing environments.
  • Understanding of the community not-for-profit sector, and commitment to social justice and client safeguarding.
  • Previous experience in a reception/admin role will be highly regarded. 
  • Qualifications in Business Administration or Community Services will be highly regarded.

Essential - to work for us you must have

  • A current driver's licence
  • Working with Vulnerable people check
  • National Police check
