We are currently seeking an organised Receptionist and/ or Mailroom Attendant to join our well-known global cosmetic brand client in Melbourne City.

Description
Receptionist:
- Greet all visitors and manage all registration, notification, visitor pass issue, handling visitor waiting time and flow
- Manage the switchboard ensuring correct etiquette in answering, identification and redirection of all internal and/or external calls
- Assist with company mail outs, administrative assistance to Facilities team & Executive Assistants
- Ensure the reception area is kept neat and tidy at all times and that all documentation is correct, up to date and located in its correct position
- Assist in ordering of office supplies
- Provide adhoc administration assistance to key business managers
Mailroom:
- Receive and send mail and courier items.
- Manage the lodgment of all incoming and outgoing goods with the mailroom by individual departments.
- Deliver incoming business mails and parcels to individuals at least once a day.
- Handle couriers, and miscellaneous tracking and mailing as required.
- Provide support for facility management.
- Weekly update of the contractor's database and security access card database.
- Update communication, safety, posters, and Environmental, Health, and Safety posters and communications.
- Offer relief and assistance to senior manager's personal assistants.
- Monitor the visitor management system and manage the key ordering process.
- Conduct adhoc building reviews to support the property manager.
- Assist and support the Mailroom Attendant with recording, issuing, and managing all building security passes for staff, clients, visitors, and contractors.
- Support Manager with car park administration.
- Support Manager with cleaning administration.
- Manage the day-to-day operations of the mailroom and reception.
- Ensure the security access card database is up to date and facilitate related processes.
- Create and print photographs for security access passes.
Profile
To excel in this role, the ideal candidate should possess the following qualifications and skills:
- Strong organisational skills with an attention to detail.
- Excellent communication and interpersonal skills.
- Basic/beginner level Excel skills for data entry, arrangement, and basic computation and analysis.
- Proficiency in Microsoft Office applications.
- Prior experience in a similar role is preferred but not essential.
- A reliable and proactive attitude with a willingness to learn and grow.
