COLLEGE BACKGROUND

Mercedes College is a Catholic school for girls in Years 7 to 12 owned by the Sisters of Mercy. Situated in the heart of the City of Perth and part of the City’s heritage precinct, the College was the first foundation of the Sisters of Mercy in Australia and is the oldest girls’ school in Australia on the original site of foundation.

We are inviting applications for the following position from individuals who will bring expertise, enthusiasm, innovation and a commitment to the shared Vision of the College. It is essential applicants be prepared to support the ethos, values and mission of the College.

OVERVIEW OF THE POSITION

This position fulfills a dual role as Relief Coordinator and Administration Assistant to the Head of Future Pathways and Partnerships.

This role coordinates the allocation of emergency and planned relief for all teaching staff. It also provides a high level of administration support to Head of Future Pathways and Partnerships. This includes supporting the administration for VET and other pathways, and RTO requirements. Furthermore, there is scope for professional growth and customisation within this new role.

This position falls under the Administration and Technical Officers Award at Level 5, with step progression based on years of experience. Working hours for this role are from 6:30am to 2:30pm, Monday to Friday, during term time.

KEY DUTIES / RESPONSIBILITIES 

Pastoral 

  • Advocate and support the ethos, Mercy values and mission of the College 
  • Promote and maintain Gospel values and the Catholic tradition among all sectors of the College, including students, staff and parents 
  • Ensure all undertakings are student focused

Relief Teaching Coordinator

Manage and coordinate relief requirements for teaching staff across the College including but not limited to:

  • Receive and acknowledge all applications for relief teaching
  • Maintain a current relief list
  • Collaborate with Human Resources to ensure the onboarding process for both new and existing relief staff is thorough and compliant with all legal requirements
  • Be up to date on all excursions and activities for relief purposes
  • Allocate emergency and planned teacher relief on a daily basis
  • Ensure daily relief supervision sheets are completed and given to relief staff and Payroll in a timely manner
  • Publish daily relief sheet for all teaching staff
  • Manage relief devices and keys

Future Pathways and Partnerships Administration

Provide administration support to the Head of Future Pathways and Partnerships including but not limited to:

  • Collect data from RTOs regarding units of competency enrolled for each qualification and completion of qualifications
  • Assist in providing VET certificates of completion to students and families
  • Assist in the creation and collection of Unique Student Identifiers for each VET student
  • Create and maintain an up-to-date record of student enrolments in VET with all necessary details
  • Assist in the facilitation of pathways to School-based Apprenticeships and Traineeships
  • Assist in managing work experience students, ensuring necessary administrative matters are attended to
  • Assist with matters relating to curriculum data - SCSA
  • Consent to go
  • Assist with presentation evening

Other

  • Comply with the Mercy Education Limited Code of Conduct, management directives and approved policies and procedures
  • Engage in the co-curricular life of the College
  • Actively participate in the Work Health and Safety program at the College. This includes completing all Mercy Education Ltd modules within the time frame provided
  • Assist in the coordination of and actively participate in various school functions
  • Comply with the staff dress code at all times
  • Attend events that maybe outside of school hours as required
  • Any other duties as directed by the Principal or their delegate

ESSENTIAL CRITERIA

  • Knowledge of and a commitment to the ethos and mission of the College
  • Experience in education sector preferably in a similar administrative role
  • Excellent communication skills, both written and verbal
  • Efficiency of process with a continual impact focused mindset
  • Excellent organisational skills and a proven ability to coordinate and operate daily relief processes
  • Ability to demonstrate a high level of autonomy and initiative in completing tasks and making decisions effectively
  • Strong problem solving skills

CONDITIONS OF EMPLOYMENT

The successful candidate will also require:

  • A current Working with Children Check Card (WWC)
  • A National Police Clearance (no older than 90 days)
  • Accreditation to work in a Catholic School or preparedness to work towards it
  • Undergo Mandatory Reporting training
  • Undergo Staff Code of Conduct training
