We are looking for full time and part time staff for our Melbourne, Sydney and Brisbane offices.

Our school group division specialises in arranging and operating unique school journeys to all 7 continents of the globe designed to educate, engage, challenge, and inspire.

We are seeking the expertise of an experienced reservations person to help organise and implement inspiring programs to schools throughout Australia.

The successful applicant can be based in Sydney, Brisbane or Melbourne in a hybrid role and must have travel industry experience, excellent attention to detail, the ability to multitask, a good working knowledge of the Microsoft suite especially excel and be self-motivated with great integrity.  Presentation skills are a huge bonus as is a good working knowledge of the education industry.

You’ll be responsible for (but not limited to):

  • First hand travel experience to many of the World Expeditions domestic and international destinations is preferred (such as Far North Queensland, Blue Mountains, The Coral Cost, Nepal, South America, Africa, Asia).
  • Passion for travel, service learning and cultural immersion education.
  • Providing accurate and current information regarding visas, passports, flight, border and customs requirements.
  • General administration duties to support personal organisation and adhere to company procedures.

Responsibilities include but are not limited to:

  • Assisting private groups by answering any questions or enquiries via phone and email.
  • Use of our reservations system to check and update all relevant information.
  • Prepare and dispatch necessary trip documents.
  • Manage payments by preparing and sending invoices, sending reminders and chasing any late payments.
  • Managing flight arrangements including ensuring timely payment is made to airlines, providing name lists, and ticketing.
  • Editing and collaborating with team members to write documents such as itineraries, Pre-Departure Documents, Gear Lists and Teachers Companion documents.
  • Liaise with operators on group details and any special requirements.
  • Request and collate personal details, medical and dietary requirements, and passport information to applicable bookings.
  • Finalise trips with operators with full rooming lists and any other special requirements.
