About the role
We are seeking a mature professional to provide high level executive administration support to the General Manager and Executive Leadership Team and will see the successful candidate utilising their exceptional organisational, secretarial, and communication skills to manage the administration aspects of Council Meetings and Workshops, as well as support the various committees of Council including Council's Executive Committee, Management Committees, Local District Committees, and various external and operational Special Committees. This role will work alongside the incumbent Executive Assistant for 6-12 months before transitioning to the stand-alone EA role.
Key responsibilities of the role are:
- Preparation of correspondence, reports, and briefing papers
- Provide high level executive support in regard to scheduling, managing agendas, minute taking and distribution of minutes
- Undertake research and gathering of information in preparation for responses to complex reports and projects
- Preparation of required documentation for Council meetings and Council workshops
- Prepare presentations and materials as required
- Manage phone enquiries and correspondence to and from the General Manager and other parties
- Update and maintain relevant record management systems and registers to meet statutory reporting and policy requirements
- Supporting the Governance Team by assisting with general governance responsibilities and undertaking governance projects as required
About you
You will be a self-motivated professional who shows initiative, can multi-task, and has good time management skills. You will be driven by your need to communicate accurately and concisely and be task-motivated by nature.

- 3 or more years experience in providing high-quality executive administrative support to a local Council or private sector board and Senior Executives within a Government or Corporate sector setting
- Demonstrated experience with complex and high level minute taking and associated meeting administration tasks
- Exceptional communication skills, both written and verbal, that you have demonstrated in a similar working capacity dealing with external stakeholders
- Ability to work autonomously under pressure and able to manage competing deadlines with limited direction
- At least 5 years experience in a similar role, preferably in a public sector environment
- Experience with electronic document assembly and management tools including Drop Box and Docs Assembler or similar products
- Exceptional design and formatting skills to create professional presentation of written information, and advanced level skills with Adobe Acrobat, Power Point, MS Word.
- Previous experience providing administrative support in a complex, confidential and sensitive environment
