Senior Medical Secretary/PA

We are seeking a part-time Senior Medical Secretary, who is proactive and thrives on being the gatekeeper for our busy Orthopaedic Surgeon. This role is a pivotal part of our paperless practice.

Our practice is a boutique Orthopaedic practice in Bruce, ACT and our delightful and amicable Surgeon specialises in shoulder and knee surgery. Our rooms are extremely modern, bright, professional and a delight to work in.

About You

We are looking for a Senior Medical Secretary who shares the same vision as our practice. You will be the gatekeeper and assist the Surgeon and our practice to flourish. You will also understand the importance of caring and supporting our Surgeon and most importantly our patients – they are our number one priority.

You will happily utilise your proactive pragmatic skills and experience to assist the practice to be the best we can be. You will be liaising with Orthopaedic representatives, ordering equipment and protheses.

Our requirements are:

  • Managing meet and greet and consulting billing.
  • Providing outstanding customer service (verbally and written) to all our patients and stakeholders, including answering the phone professionally and empathetically.
  • Inbox management
  • Having an excellent understanding and previous experience in Theatre Bookings, Theatre Billing and Surgical Quoting, Clinic to Cloud Medical Software (or similar) including AMA fees and utilisation of ECLIPSE.
  • Implement, manage and troubleshoot processes/procedures in the practice, to make them as efficient as possible allowing you to focus on the patients.
  • Full practice reporting including end-of-day, week and month reporting directly to the principal.
  • Ensuring the practice is always fully compliant with industry and government regulations including WHS.
  • IT savvy skills (able to troubleshoot as required) / familiar with Apple Mac’s
  • Possess excellent organisational skills, outstanding work ethic and punctuality.
  • Proud of your professional manner and presentation – being our Brand Ambassador
  • Have the capacity to perform well in a busy environment – must be a skilled multi- tasker
  • Happy to perform ad-hoc administration duties for the Surgeon as required, and happy to guide/support him in his admin duties. Ensuring that he is always at the top of his game.
  • Ordering and organising prostheses, equipment and dealing with reps.
  • Managing clinical and admin supplies
  • Constantly liaise with hospitals, anaesthetists and surgical assistants
  • Manage medico-legal cases (limited)
  • PA duties as directed by principal

Accounts/Billing responsibilities:

  • Ensure Medicare/DVA/Defence billing is up to date
  • Manage complex patients quotations – approve emergency bookings
  • Ensuring timely quotation and payments and receipting of patient surgeries
  • Being experienced in working with various health funds and Medicare (ECLIPSE viewed highly)

Experience:

  • Must have a minimum of two (2) years of Medical Secretary experience – Orthopaedic with C2C software experience, viewed favourably
  • Private Specialist experience is mandatory

Hours/days:

We will consider the following options:

  • 3 days per week (1 to 2 days per week not consulting)

8:30am till 5:00pm (30 minutes unpaid lunch)
