Primary objective
Provide high level project and contract administration advice to Program/Project Managers and Directors on the more
complex individual capital, minor new works, repairs and maintenance and consultancy project.
Context statement
The Project Administration team provides project and contract administration services to support the delivery of
infrastructure projects for the NTG; playing an essential role in assisting IIC to meet its targets by providing the necessary
support to manage contract documentation, payments, variations, project updates and reports, and all administrative
aspects of project delivery.
Key duties and responsibilities
1. Provide specialist advice and support to Program/Project Managers and Directors to ensure contracts are compliant
with business processes and accountabilities.
2. Manage the provision of data recording, documentation and record keeping related to projects and contracts.
3. Process and monitor the financial administration of projects and contracts to ensure cash flow and expenditure
targets are met.
4. Communicate professionally and effectively with Program/Project Managers and Directors, orally and in writing, on
project and contract administration matters.
5. Build cooperative and collaborative relationships with other project administration staff and regional counterparts
to ensure services are being delivered effectively and within prescribed timeframes.
6. Foster a positive workplace culture through exemplary practices and role modelling behaviour.
Selection criteria
Essential
1. Substantial experience in project and contract administration in a construction or built asset organisation with high
level knowledge of contemporary project and contract administration practices, principles, innovations.
2. Sound knowledge of the principles and practice of the procurement and contract management legislation and
frameworks, works program cycles and associated budget and financial processes used in the public sector or similar
environment.
3. Sound experience in financial reconciliation and other financial processes and in the use of a range of financial and
project management systems and office based software.
4. Sound experience in providing advice, training, support and high standards of customer service.
5. Sound oral, written communication and interpersonal skills to communicate clearly across cultural and professional
boundaries and to prepare high level and complex reports and documentation.
Desirable
1. Degree in Business or similar.
