The International and Parliamentary Relations Office (IPRO) is a joint parliamentary office providing services to both the Senate and the House of Representatives. IPRO supports the Parliament's international program by strengthening engagement and cooperation with parliaments internationally. IPRO coordinates incoming and outgoing delegation visits, supports parliamentary strengthening activities and coordinates the Parliament's participation in international parliamentary associations.
The Senior Visits Officer (Pacific) will plan, manage and coordinate arrangements for parliamentary delegation visits to/from the Pacific and provide secretariat support to the Parliament's membership of international parliamentary organisations. The role involves liaison with parliamentarians and their staff, diplomatic representatives, other Parliamentary and Commonwealth departments, and state and territory parliaments in relation to Pacific-focused inter-parliamentary activities and events.
Experience coordinating high-level visits and understanding of capacity-building programs is highly desirable. The Officer will be a team player with excellent interpersonal skills and have a high level of administrative and organisational skills. Some travel will be required.
The key duties of the position include
The Senior Visits Officer (Pacific) will:
- Coordinate logistical support for incoming and outgoing delegation visits to/from the Pacific, including the international travel requirements of Presiding Officers and their staff.
- Support arrangements for Guest of Parliament visits, and perform representational duties as required.
- Implement study visit programs and project manage parliamentary strengthening programs as required.
- Assist with the Parliament's participation in international parliamentary associations.
- Prepare correspondence, briefing papers and other documentation on policy and procedural matters related to the Parliament's Pacific engagement activities.
- Procure goods and services in accordance with relevant regulations and requirements.
- Develop and conduct evaluation reports and maintain official records.
- As required, provide leadership and supervise staff assisting with visit programs and related activities.
