An outstanding opportunity has arisen within our Shopping Centre team to undertake the role of Shopping Centre Leasing Assistant on a 12 month full time contract with the possibility of extension or parmanency.

The Shopping Centre Leasing Assistant will report to the Leasing Manager, Suburban Shopping Centres and will be responsible for providing administration support to the suburban Shopping Centre Leasing team including liaising with critical internal and external partners.

Essential Duties

  • Prepare Letters of Offer (LOO) as per Leasing Executive instructions.
  • Collate attachments for LOO (TLP, TIF etc.) and check details prior to issue.
  • On receipt of signed LOOs, prepare Lease Analysis templates, check figures for passing, budget and reforecast and send to Leasing Exec / Finance for review.
  • Check LOO attachments such as Form 2, A&L have been completed prior to submitting deals for approval.
  • Assist with drafting / reviewing CC papers as per Leasing Exec instructions.
  • Issue deal approval emails to Lease Admin, PMs and Tenancy Delivery and package up all relevant information for Lease Admin to instruct lease preparation (incl. new company entity details)
  • Assist Lease Administrator in company searches, storage licences, Tenant follow ups as required.
  • Assist Leasing / PMs to follow up signed Disclosure Statements, Bank guarantees’, insurances, fees as required.
  • Support and liaise with the property management team in the timely invoicing and recovery of legal expenses, retail design management fees, tenancy delivery fees, hoarding expenses and other costs recoverable from tenants.

Qualification Requirements

  • Minimum 2 years’ experience in a team administration environment.
  • Excellent administration skills.
  • Strong Microsoft Office experience with the ability to quickly learn new systems with training.
  • Exposure to the real estate industry highly regarded.

  • High attention to detail with the ability to learn new processes and systems.
  • Strong interpersonal skills with the ability to build and maintain productive working relationships with internal and external stakeholders.
  • Well-developed planning and organisation skills including the ability to effectively prioritise and manage deadlines whilst delivering accurate and quality work.
  • Well-developed conceptual, analytical and problem-solving skills with the ability to identify opportunities.
  • Must be a team player, with the ability to support and motivate colleagues where required.
  • Highly proficient in use of computers and ability to work with internal Hawaiian systems once trained.
