We are looking for an individual to supports IFSA’s programs in Melbourne and Adelaide.  This position provides academic and cultural support for undergraduate students; organises co-curricular activities and contributes to the overall operations.

In this position, you will work independently, but will have support from the Director and other members of the Australian team.  You will work with colleagues from our sites in Australia and the Asia Pacific, the Global Health & Safety Team, Academic Programs and Student Engagement Team. You will work from home and then meet students on campus or at activities/excursions. There will also be advising for Australian Outbound programs and administrative work for custom programs. Hours can be flexible.

In this position, your inbound responsibilities would include: 

  • Collation and presentation of pre-arrival student webinars  
  • Coordinate and support excursions, co-curricular activities, orientations and other events as needed 
  • Coordinate and support custom bids and programs; including making bookings, communicating with vendors, IFSA staff and home universities, updating budgets, and building out itineraries. 
  • Conduct appreciative advising meetings, including learning plan consultations, and regularly meet with students to assess their experiences and help resolve problems 
  • Monitor student's integration and well-being through regular communication and campus visits  
  • Support academic management of programs, including the course registration process, appreciative advising, and student learning plan consultations 
  • Coordinate the booking and timetabling of IFSA classroom space 
  • Support the planning and delivery of custom programs; potentially coordinating onsite programming. 
  • Contribute to emergency response and student incident management based on established protocol, and participate in after-hours emergency phone rotation  
  • Initial point of contact for general student inquiries 
  • Duties assigned by Director, to assist with student services and Australia/New Zealand operations.  
  • Other duties and projects, as assigned, that may include opportunities to contribute to other IFSA site operations via remote work; opportunities to work with Student Engagement on pre-arrival student advising; opportunities to work with Institutional Engagement to develop institutional partner relationships. 
  • Operate with a service-oriented mindset to quickly respond to student inquires and institutional partners, and collaborate internally with IFSA colleagues 

In this position, your outbound responsibilities would include: 

  • Advising Australian outbound students in short term programming offered overseas and assisting them through the application process. This could include location, program choice, program features, course selection, transfer credit; and may include pre-travel elements such as: special needs, visa processes, travel, and pre-departure preparations.  
  • Maintain accurate and complete student records, ensuring data integrity within the system.  Create and run reports for those records.    
  • Communicate with sending universities to support student applications, transfer credit processing, and other administrative processes.    
  • Assist with the creation and revision of documents and collateral including email templates, application forms, handbooks, and website content.     
  • Participate in Learning Abroad fairs in Australia; focusing on recruitment of students. Potentially do a short presentation about locations and programming at invited universities. 
  • Work on third party provider applications and expressions of interest 
  • Communicate with university partners and potential partners about short term and custom program options. Support initiatives and strategies to increase enrolments and partnerships. 
  • Assisting the Director Australian Programs and the Regional Director of the Asia Pacific with administrative tasks, duties and projects as required.  

Requirements, Work Experience and Education 

  • One - two years of work experience; desired industries include study abroad, higher education, hospitality, tourism, non-profit. 
  • Contagious enthusiasm for IFSA’s mission, vision and commitments. 
  • Strong time management and planning skills, with the ability to work independently to execute time-sensitive tasks and duties successfully. 
  • Strong attention to detail in managing program and administrative data. 
  • Success in engaging with and supporting students with diverse lived experiences including students of color, students with mental and physical disabilities, first-generation college students, and LGBTQIA+ students. 
  • Flexibility and ability to adapt and thrive in ambiguous and changing situations and to shift focus and reprioritize work as needed. 
  • An ability to respond calmly and professionally to emergency situations 
  • General knowledge of university system and student life in Australia 
  • Undergraduate degree preferred, but not required 
  • The legal right to work in Australia.

Physical and Work Environment   

  • Working on a computer, placing phone/video calls. 
  • Required to navigate and travel around the city and for excursions, potentially outdoors in the heat or cold 
  • Occasional travel around the local city and program locations out with is required; including for a potential learning abroad fair 
  • Occasional physical activities such as arranging chairs/tables in conference room settings.  
  • Ability to attend occasional meetings outside of local business hours, due to the global nature of our operations
