Job Title Workplace Support Specialist

Job Description Summary The Workplace Support Specialist (WSS) primarily supports the two Receptions with all Adobe’s employee, customer and guest requirements, ensuring Reception and the Conference spaces are well presented and maintained at all times. The WSS also supports Facilities to deliver an exceptional level of service around the offices, providing effective operations in a neat, clean, compliant, safe and healthy work environment, at all times in a welcoming, positive and professional manner.

About the Role

  • Greet guests and customers upon arrival and direct them to their destination.
  • Answer inquiries about Adobe and direct them to the appropriate department.
  • Assist with catering requests and manage coffee machine supplies and maintenance
  • Manage incoming mail and parcels, sorting and distributing each day.
  • Manage outgoing mail and parcels shipments, keeping tracking and record information
  • Monitor and order stationery and catering items for Reception area.
  • Daily inspection of all front of house areas, maintaining impeccable standards of presentation
  • Regular inspections of Conference rooms throughout the day, ensuring tidy set up as necessary
  • Allocate and record Adobe parking spaces, keys, desk nameplates and contact lists
  • Coordinate Reception and Conference maintenance (lighting, windows, blinds, furniture etc.)
  • Ensure all visitors have relevant Security Access and keep all records up to date.
  • Verify employee and visitor badges and observe / report any unusual or suspicious behaviours.
  • Be local point of contact for Adobe Security and provide relevant escalation as needed
  • Use Visitor Management System (VMS) for issue and management of security passes
  • Support Adobe staff with locker nametags and allocations across the floors. •
  • Work with Facilities on Work Requests, assisting with timely completion of all works / repairs.
  • Ensuring all services are ordered with an approved Purchase Order (PO), and all services received and paid with an invoice, referencing the PO.
  • Assist Facilities with third party vendors providing: janitorial services; carpet cleaning; maintenance and repairs; interior plant service and other related vendors.
About you:
  • Strong customer service background
  • Professional verbal and written communication skills
  • Ability to multi-task
  • Ability to deal with customers in a high volume contact environment
  • Experience in reception, administrative, customer services or retail/hospitality services is preferred
  • Competent in MS Office
