About This Opportunity

The Advancement Coordinator is a key staff member in the Faculty of Engineering, Architecture and Information Technology Advancement team and is responsible for planning and delivering a comprehensive outreach, engagement and Leadership Annual Giving program that involves a range of donor cultivation efforts, targeted events, communications, and marketing initiatives, which vary in size and complexity.

Working as a valued member of a proactive and multidisciplinary team, you will be a first point of contact for internal and external stakeholders in all matters relating to alumni engagement and will strategically engage with stakeholders to provide tangible benefits to alumni and other key groups, including UQ students and staff.

Key responsibilities will include:

Engagement

  • Coordinate high impact and sustainable engagement initiatives designed to engage UQ's Faculty of EAIT alumni, industry, and philanthropic partners.
  • Coordinate all aspects of events including timely preparation of briefing materials, guest lists and liaise with external suppliers and stakeholders to negotiate venue hire, catering, photography, audio visual requirements etc.
  • Liaise with EAIT Advancement team around event communications to ensure strategic objectives are met and program messaging aligns with strategic goals.
  • Develop systems to track, evaluate and improve engagement initiatives.
  • Work closely with the Annual Giving team and EAIT Schools to develop giving and fundraising initiatives as a part of programming that supports and develops the donor base.

Fundraising and relationship management

  • Under the guidance and partnership of the Senior Manager and Head of Engagement and Philanthropy, manage relationships on behalf of the Faculty with the aim to maximise fundraising at the leadership annual giving level ($1,000-$50,000) and donors who are in permanent stewardship.
  • Meet key performance indicators around visits, contacts, solicitations and funds raised as designed in collaboration with the Senior Manager and Head of Engagement and Philanthropy.
  • Undertake lead identification, research and qualification of relationships on behalf of the team. Assist in development of fundraising proposals and strategies as required.
  • Coordinate meetings between donor/recipients and donor/researchers for relationships under permanent stewardship.
  • Responsible for development of donor-centric collateral to communicate fundraising priorities and the impact of giving.
  • Create, implement and evaluate individual and project-based stewardship plans, and deliver specific strategies to support annual giving.

Collaboration/Support

  • Support and collaborate with EAIT School engagement staff in the development and delivery of engagement and fundraising activities that align with strategic goals.
  • Build, manage and maintain strong and collaborative working relationships with colleagues within Advancement and Community Engagement, and across the University to support a one-UQ approach.
  • Contribute to and encourage the University-wide understanding of educational philanthropy and be committed to best practice.

Travel and Out-of-Hours Work

  • Some event-related travel may be required from time to time.
  • The Advancement Coordinator will be required to work after hours from time to time and may be required to work on weekends.


This is a full-time-time (100%), permanent position at a professional level HEW 6.

The full-time equivalent base salary will be in the range $88,099.39 - $94,512.08, plus a generous super allowance of up to 17%. The total FTE package will be up to $103,076.28 - $110,579.13 annually. As these roles are covered by an Enterprise Agreement, you will also receive regular remuneration increases in line with the Enterprise Agreement.

About You

  • A tertiary qualification with subsequent relevant experience, or extensive work experience/specialist expertise in community engagement, events management and/or marketing and communications.
  • Experience in a tertiary environment is desirable.
  • Demonstrated ability to manage high quality events and activities within designated budgets. Experience in events management is essential.
  • Highly effective organisational and planning skills including excellent attention to detail and accuracy, the ability to use initiative, prioritise own workload, solve problems and meet strict deadlines.
  • A sound understanding of basic fundraising and alumni relations principles, and appreciation of the role that engagement and stewardship of donors and volunteers has within fundraising strategies.
  • An understanding of marketing and communications principles as well as an appreciation for sound policies around accurate data evaluation, tracking, and accuracy.
  • Outstanding interpersonal skills, including the ability to communicate effectively, build relationships, handle sensitive information with sound judgment, and effectively communicate and negotiate with internal and external stakeholders at all levels.
  • Proficiency in the use of a wide range of computer applications (particularly Microsoft Excel). Knowledge and use of databases or CRM systems. Experience using the Raiser's Edge database would be an advantage, although not essential.
