Job description

The International and Stakeholder Relations (I&SR) Section is key in coordinating and streamlining the tiered decision making processes in the Department through the DVA governance framework.
Duties
  • Possess strong oral and written communication skills, the ability to support productive working relationships, and build and maintain effective relationships with internal and external stakeholders, as well as the ability to work across teams to deliver meetings, projects and/or events in short timeframes, during peak periods.
  • Provide secretariat support and project management to the committees and forums supported by the section, including:
  • booking travel and accommodation
  • arrange provisioning/catering
  • preparation of agendas, quality assurance and distribution of papers, taking minutes
  • meeting room preparation, set-up and pack down
  • event management and IT/technical services
  • post-meeting administrative tasks
  • Undertake coordination and financial management responsibilities (including payment of invoices) for the Section
  • Liaise with program areas and other key stakeholders, both internal and external to DVA, as well as domestic and international, regarding inputs to and outcomes from governance meetings, Ministerial travel and the international engagement strategy and associated activities;
  • Research and analyse information and data to assist with the preparation of DVA’s international engagement strategy;
  • Prepare correspondence, reports, briefing and other documentation;
  • Provide assistance to the other teams of the Section in undertaking their roles, as required;
  • Supporting and implementing the development and streamlining of operational processes and procedures for increased business efficiency;
  • Undertake proactive continuous improvement and learning and development; and
  • Other duties as determined to support business operations outcomes.

Notes
This recruitment process is being used to fill an ongoing and Non-ongoing position(s).
Where a non-ongoing position is offered, the role will be filled for an initial specified term of up to 12 months.
A merit pool of suitable applicants may be created which may be used to fill future ongoing and non-ongoing vacancies should they become available over the next 18 months.
Successful applicants engaged into the APS will be subject to a probation period.
