About this role:
The Campus Secretary plays a critical role in managing the daily operations of the campus reception. Serving as the primary point of contact, the role necessitates a professional appearance, adaptability, a friendly attitude, strong communication abilities, and the capacity to handle stressful situations. The job can be challenging, demanding effective multitasking skills. Given the diverse community at the college, the Campus Secretary must exhibit excellent interpersonal skills.
Job tasks and responsibilities:
- Extract Student’s absence report from Student Information System and update in Student Unexplained Absences report – Report for Principal to calculate each class attendance
- Issue late passes to students who are late to school.
- Daily - verify attendance on Student Information System for students who are away for certain periods or full day.
- Send SMS to parents to inform of student absences & PFA members depending on situations /meetings.
- Regularly update Student Long Term Absences and making sure Long Term Absence forms are filled in by parents and signed by each coordinator.
- Take receipt of daily fee payments by parents and students.
- Assist finance department with administrative tasks i.e CSEF, petty cash, school fee collection etc
- Answer inbound calls and make calls externally when required i.e parents, emergency services, suppliers, appointments etc
- Maintain campus email account and make announcements via Public Address (PA) system as requested
- Maintain sick bay and emergency administrative tasks i.e ordering/maintain stock, records, linen, first aid kits, following emergency procedures etc
- Attend to students in sick bay and administer first aid and/or medication and calling parents or emergency services if required.
- Documentation update for medical conditions, ensuring medicine/ action plan is up to date for students.
- Organising first aid supplies for school camps and excursions.
- Organising events such as school photos, immunisations and dental visits for students.
- Attend excursions/ camps when requested by the Campus Principal
- Record keeping of school credit card
- Other administration/ reception duties as required
- Any other duties requested by the Campus Principal or his/her delegate.
Knowledge Skills & Abilities:
- Possess or be willing to obtain a Working With Children Check (WWCC)
- Exceptional interpersonal and collaborative skills, and an ability to be able to effectively communicate with students, parents, teachers and external stakeholders
- Excellent presentation and communication skills
- Able to exhibit multi-tasking skills and work independently or as a team.
- Exceptional communication skills both face-to-face and on the phone.
- Proficiency in utilising IT systems.
