THE ROLE 

Reporting to the Finance Manager, the Cash Receipting Officer is responsible for accurately recording and managing the receipts of cash payments within the organization. This role involves processing incoming payments, maintaining financial records, and ensuring compliance with financial policies and procedures. The role is part time, with approximately 13 hours per week. Hours will differ each week, depending on the amount of receipts to process and the complexity involved. The role can largely be performed remotely, however it is important that the work is performed in the morning, as it allows us to ship goods to customers in the afternoon once payments have been processed.

KEY RESPONSIBILITIES:

Cash Receipting 

  • Process all customer payments and deposits accurately and in a timely manner.
  • Ensure that all payments are applied to the appropriate sales orders, invoices, or customer accounts.
  • Reconcile daily online payments from different payment platforms, ensuring all transactions match the corresponding cash settlement reports. 
  • Prepare and maintain accurate reports on daily receipts and transaction summaries.
  • Monitor multiple bank accounts, PayPal accounts and online payment platforms. 
  • Coordinate with the Sales team and Accounts Receivable Officer to resolve discrepancies in payments and receipts.
  • Maintain confidentiality and security of all financial files and documents.
  • Ensure compliance with internal controls, policies, and procedures in processing cash receipts.
  • Provide support to the finance department during monthly closing activities.

 DOES THIS SOUND LIKE YOU?

  • Proven experience in cash handling or in a similar role.
  • Strong proficiency in MS Office, especially Excel (VLOOKUP and pivot table experience).
  • Experience with NetSuite is advantageous but not necessary.
  • Excellent attention to detail with the ability to multitask effectively.
  • Strong organizational and time management skills.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Ability to work independently and as part of a team.
