Right now, we are looking for an enthusiastic individual to join our team of 30 staff and 4 Principals.
Position PurposeAssist with the smooth running of the Immediate Manager's practice by providing skilled and efficient delivery of various administrative tasks for them, their team and for the Firm’s clients.
Operating ContextThis is an administrative role that is vital to the smooth operation of the Immediate Manager’s team, and the Firm as a whole.
The role receives regular instruction from the Immediate Manager by phone, email and face-to-face contact but, there are various routine tasks that should be conducted autonomously.
Work is introduced by the Immediate Manager as well as team members. However, from time-to-time work will be requested from other members in the form of special projects and backup/relief support.
Key AccountabilitiesEnsure team members can focus on client needs by providing comprehensive administrative support and deliver outstanding client service including, but not limited to:
- Interact with clients, government agencies and other businesses for information gathering.
- Prepare and distribute client engagement letters and proposals and conduct relevant searches to assist with information gathering.
- Prepare, update and maintain group structure charts.
- Coordinate and schedule client meetings.
- Assist with time recording and invoicing.
- Organise lodgement of tax returns and activity statements.
- Collate documents to send to clients for review, signing and filing of all signed documents upon return.
- Aid in the establishment of new entities by preparing necessary documents, submitting them for lodgement, and ensuring effective execution and filing upon return.
- Manage annual compliance projects including ASIC reviews.
- Maintain workflow efficiency, adhering to lodgement lists and deadlines.
- Manage calendars, answer phones and maintain email inboxes.
- Meticulous organisation of physical and digital files.
- Update and maintain a comprehensive filing system ensuring documents are stored securely and can be retrieved efficiently.
- Provide general office support including phone handling, greeting clients when required, mail management, meeting room preparation.
- Contribute to the development of policies, procedures, and templates to ensure timely lodgement of returns and to minimise the risks of non-compliance.
- Completion of Victorian Certificate of Education (VCE) or equivalent.
- At least 1-3 years relevant experience in a professional services environment (preferably Accounting) at a similar level.
- DESIRABLE: additional education in business or office administration.
- Strong knowledge of office management systems and procedures.
- Exceptional time management and organisational skills.
- Meticulous attention to detail and accuracy.
- Proficient in Microsoft Office.
- Systematic and organised approach to work with strong attention to detail.
- Meet deadlines and communicate delays/issues with manager in advance of deadline.
- Respond positively and quickly to client and team member requests.
- Demonstrate excellent listening skills and express opinions clearly and logically with excellent verbal and written communication.
- Develop positive, professional relationships internally and externally.
- Willingness to help others, demonstrate initiative, is honest and trustworthy.
