Our client is seeking to engage a Commercial Leasing Administrator on a Permanent, Full time basis.

MAIN DUTIES:
Lease Preparation and Matter Management
- Working with the internal stakeholders (Heads of Business and their teams) to:
- Provide commercial advice and insight as requested by internal stakeholders on proposed transactions.
- Prepare leasing documentation and property-related legal agreements.
- Instruct external firms to prepare leasing documentation and premises surveys.
- Manage leasing transactions including review and issue of draft documents, obtaining, and providing instructions.
- Finalise transactions including execution and secure storage of concluded agreements, preparation of commercial document summaries.
- Update and maintain the commercial management system (CMS) for all new and existing leases.
- Undertake day-to-day lease management, including lease-related correspondence and forms, monitor lease obligations, calculate and issue rent review notices.
- Work with and advise accounts and property management teams on lease compliance and reporting to relevant internal stakeholders.
- Communicate with internal stakeholders and tenants about legal and commercial issues.
- Review accounts, prepare and issue invoices and notices for recurrent cost recovery, including rent invoices, standing charges, outgoings.
- Collate and analyse sales data and financial turnover information.
- Prepare accurate and detailed reconciliations of rent and charges.
- Work with accounts receivable as first escalation point for debt management and recovery of arrears.
- Work with accounts receivable and Heads of Business as first escalation point for debt management and arrears recovery.
- Prepare annual revenue budgets.
- Any other ad-hoc tasks as required by the General Counsel.
- This role requires excellent written and verbal skills with the ability to produce clear, professional written correspondence and the ability to speak confidently and articulate in a professional manner.
- The Commercial Paralegal will be responsible for a variety of lease administration matters concurrently and must be detail orientated, outcome focused and organised with the ability to multitask and prioritise.
- Demonstrate strong people skills and teamwork to collaborate and communicate regarding all aspects of work including fostering and building positive relationships across the company
