JOB TITLE: CONTRACT ADMINISTRATOR
Job Overview:
As a Contract administrator, your primary responsibility will be to oversee and manage the contractual agreements between our company and our various stake-holders, including suppliers, contractors, and service providers. You will ensure that contracts are properly drafted, negotiated, executed, and administered throughout their life cycle, while also mitigating risks and maximising value for the company.
Key Responsibilities:
1. Contract Development and Negotiation:
- Draft, review, and negotiate contracts, including procurement agreements, service contracts, and vendor agreements.
- Ensure that contract terms and conditions align with company policies, legal requirements, and industry standards.
- Collaborate with legal counsel, procurement, and other stake-holders to finalise contract terms.
2. Contract Administration:
- Manage the administration of contracts from initiation to closure, ensuring compliance with contractual obligations and deadlines.
- Maintain accurate contract records and documentation, including amendments, change orders, and correspondence.
- Monitor contract performance and address any deviations or disputes in a timely manner.
3. Vendor and Supplier Management:
- Co-ordinate the selection and evaluation of vendors and suppliers in collaboration with procurement and project teams.
- Establish and maintain relationships with key vendors and suppliers, fostering a collaborative and mutually beneficial partnership.
- Monitor vendor performance and adherence to contract terms, addressing any issues or concerns as they arise.
4. Risk Management:
- Identify potential risks and liabilities associated with contract agreements and implement risk mitigation strategies.
- Ensure that contracts include appropriate provisions for risk allocation, indemnification, and insurance coverage.
- Monitor and assess the financial stability of contractors and vendors to minimise risk exposure.
5. Financial Management:
- Track and report contract expenditures, including budgeting, invoicing, and payment processing.
- Verify the accuracy of invoices and reconcile discrepancies with vendors and finance departments.
- Assist in forecasting and budgeting for future contract expenses and commitments.
6. Compliance and Regulatory requirements:
- Ensure compliance with regulatory requirements, environmental standards, and health and safety regulations in contract agreements.
- Monitor changes in legislation and industry regulations that may impact contract administration practices.
- Co-ordinate with legal counsel and regulatory agencies to address compliance issues as needed.
Skills and Qualifications:
- Bachelor’s degree in business administration, Contract Management, Legal Studies, or equivalent years experience in lieu.
- Previous experience in contract administration, procurement, or project management, preferably in the mining or heavy industry sector.
- Strong understanding of contract law, negotiation principles, and contract administration best practices.
- Excellent communication and negotiation skills, with the ability to build and maintain effective relationships with internal and external stake-holders.
- Proficiency in contract management software and Microsoft Office Suite (Word, Excel, Power Point).
- Analytical mindset with strong problem-solving and decision-making abilities.
- Attention to detail and ability to manage multiple contracts simultaneously while adhering to deadlines.
Working Conditions:
- The role is primarily office-based, with occasional visits to mine sites or vendor locations as required.
- Work hours may vary depending on project deadlines and operational requirements.
- May involve occasional travel to attend meetings, negotiations, or industry conferences.
