Step into a role that is the backbone of our infrastructure and network’s growth and sustainability!  We are seeking a Contracts Administrator who will be instrumental in the effective management of contracts and subcontracts within our Network Development, Assets & Maintenance division.

About the role

The Contracts Administrator role is more than just about compliance, it’s about ensuring that our processes and policies are the lifeline that supports our expansive network. You will be immersed in the full contract lifecycle, from initiation to closure, guaranteeing that all administrative functions are executed with precision and punctuality.

Key accountabilities include:

  • Efficiently manage the daily operations of contract administration, including the creation of vital communications, guiding the flow of documents, and maintaining detailed records, while navigating and resolving any conflicts of interest.
  • Help improve contract performance by monitoring key performance indicators, organising vital meetings, and assisting in renewal and extension of contracts, all within a framework of rigorous compliance.
  • Contribute to critical negotiations and decision-making processes that shape our contractual landscape.
  • Maintain a comprehensive contracts portfolio, overseeing a meticulous register and ensuring our procurement activities are forecasted with precision.
  • Foster collaborative relationships with internal and external stakeholders to champion successful contract execution.
  • Analyse spend patterns and performance to help identify opportunities for cost optimisation and operational excellence.
  • Collaborate with procurement, delivering valuable insights that inform our sourcing strategies.
  • Champion compliance, ensuring all statutory and policy requirements are met with diligence and our practices reflect the highest standards of responsibility.
  • Embody our core values of integrity, vigilantly observing and reporting any concerns, and maintaining transparency in all dealings.

About you

We are looking for someone who is not just driven by self-motivation and a thorough understanding of processes and policies but also someone who embraces challenges and adapts seamlessly to new situations.

If you have a keen eye for detail and a solid understanding of contracts, policies, and the importance of maintenance within a network setting, this is the role for you!

Our ideal candidate will possess the following:

  • A minimum of 3 years in a comparable role, showcasing a track record of proficiency and growth.
  • A robust grasp of the contract lifecycle, paired with a keen insight into commercial risks and the acumen to devise and apply effective mitigation strategies.
  • Exceptional communication abilities, coupled with adept stakeholder management skills, to navigate complex interactions and build strong relationships.
  • A proven capacity to remain flexible and efficient amidst changing priorities and tight deadlines, demonstrating a commitment to meeting organisational objectives.
  • Demonstrated alignment to V/Line’s values of responsiveness, integrity, impartiality, accountability, respect, leadership and human rights.

Desirable:

  • Tertiary qualifications in Engineering, Construction or other relevant discipline
  • Experience in rail and/or construction is advantageous.
  • Experience in contracts management and/or procurement is advantageous.
