An exciting opportunity has become available in our Information Services team for a Coordinator Business Systemson a permanent full -time basis.

In this role, the successful applicant will coordinate and lead delivery, support, and maintenance activities within the City’s business domains, whilst managing both on-premises and Cloud software systems, in line with Corporate and Operational Plans and the Digital Strategy. They will supervise the Business Systems team, oversee and provide expert advice identifying, analysing, and documenting business processes and uphold and consistently demonstrate the City's values of Respect, Integrity, Customer Service and Teamwork. 

The key responsibilities of this role:

  Leadership and Strategic Planning

  • Guide and mentor the Business Systems team and to deliver exceptional customer service and support throughout the organisation.
  • Oversee and direct the Business Systems functions, including providing strategic direction to achieve optimal efficiency, productivity, and service excellence.
  • Motivate the team to deliver agreed outcomes and enhance overall performance through effective leadership and continuous improvement.
  • Coordinate strategic and operating initiatives, budget control, scheduling, and related activities to ensure service levels are consistently met and maintained.
  • Oversee selection, recruitment, and development of the team including performance appraisals.
  • Ensure adequate resourcing and funding by participating in the annual budgeting process. Contribute towards management of the section budget.
  • Plan and prioritise projects and initiatives undertaken by the team with accountability for achievement of outcomes.
  • Offer ongoing strategic direction and guidance to project management teams regarding progress, issues, and implementation risks, fostering strong relationships with all relevant stakeholders.

Client Management

  • Liaise effectively with business sections to identify needs, understand their business, and help achieve outcomes.
  • Liaise with staff to identify opportunities for efficient and effective use of application systems.
  • Regularly review, update, and implement IT service and support protocols, procedures, work practices and documentation to improve efficiency and effectiveness of services.
  • Monitor helpdesk resolution timeframes to ensure excellent service delivery.
  • Collaborate with business stakeholders and Subject Matter Experts to align system functionality with business needs and objectives, providing tailored solutions and enhancements.

Application Development, Maintenance and Support

  • Significantly contribute to the delivery of the City’s Digital Strategy projects including the ERP implementation project.
  • Develop strategic direction regarding the City’s Business Systems improvements initiatives and offer strategic advice across the organisation.
  • Provide day-to-day support and systems administration, including documenting business requirements and processes, to maintain smooth operation of Business Systems.
  • Ensure data housed within City systems is well managed in compliance with current data protection and privacy legislation, enabling accurate and timely business intelligence.
  • Coordinate an ongoing program of systems development and enhancement to provide stakeholders with a roadmap of upcoming organisational changes.
  • Manage the commercial relationships with service providers.
  • Implement appropriate solutions and changes using established project and change management methodologies, ensuring Business Systems remain fit for purpose and meet business needs.
  • Oversee the retirement of legacy systems and data.
  • Implement change management and control practices to continuously improve Business Systems.
  • Manage system user security profiles.
  • Maintain professional expertise and currency on computer applications.
  • Ensure upgrades are managed in accordance with business needs and contractual obligations.
  • Establish adequate support processes in line with agreed service levels.

Administration

  • Develop and maintain Business Systems protocols, procedures and documentation.
  • Ensure timely renewal and management of systems contracts.

Other

Other duties within the skills, knowledge and experience of the incumbent as required.

To be successful in this role you will have:

  • Tertiary qualification in a Business, IT or Systems discipline and/or equivalent experience.
  • Demonstrated experience leading and coordinating an ICT support team to provide excellent customer service with a focus on continual service improvement.
  • Extensive experience in developing comprehensive test plans, training plans, procedures and work instructions.
  • Extensive experience working with business stakeholders and demonstrated production of business process workflows and new system requirements.
  • Prior experience in working with Local Government Authorities.
  • Prior experience with the TechnologyOne OneCouncil solution.
  • Highly developed and proven interpersonal, communication and influencing skills.
  • Demonstrated ability to collaborate with others to achieve effective outcomes.
  • High level ability in planning, prioritising and achieving outcomes to deadlines and within budget.
  • Demonstrated ability to establish, develop and maintain new systems, strategies, and procedures.
  • Considerable experience in IT application systems development, implementation, and support.
  • Excellent written communications skills.

Salary Range: $120,000 - $135,610 per annum plus 11% employer superannuation and additional co-contribution to your superannuation.
