The Opportunity - Permanent, Part Time Position
The position of Company Secretariat Coordinator will be responsible for assisting with the delivery of timely and accurate company secretarial services for selected Australian-incorporated and overseas Group subsidiaries while also:
- Supporting the Company Secretariat by assisting with preparation and maintenance of accurate and organised records
- Support the delivery of the South32 Board program and associated tasks as required
- Develop, maintain, and continuously improve Company Secretariat processes
- Support the provision of company secretariat services for selected Australian and overseas subsidiaries
- Process annual company statements, prepare, and lodge statutory forms, annual returns and other documentation as required by ASIC and other regulators
- Maintain company, director, and officer information on the Diligent Entities software platform
- Champion the Diligent Entities software platform
- Maintain accurate corporate statutory records in accordance with regulatory requirements and internal policies and procedures
- Assist with matters related to the South32 Board program (including logistics, travel, visas)
- Develop and update internal processes and procedures
- Provide general and administrative support for all secretariat-related activities as required.
You will be required to have the following:
- Knowledge of Corporations Act (Australia) and a general understanding of relevant company/corporation laws in locations where the Group operates is desirable
- Knowledge of company secretary duties, corporate governance practices and corporate regulations (desirable)
- Excellent written communication, with a high attention to detail
- Highly effective time management skills and able to prioritise and deal with multiple work flows at once with time driven deadlines
- Able to work both autonomously, and cohesively as a team member
- Willingly share information and involve/inform others as required
- Uses initiative to get things done and take accountability for outcome
- Qualification in business studies, or relevant work experience in a corporate environment (3+ years desirable)
- Currently studying commerce or law degree related course (desirable)
- Member of the Governance Institute of Australia or similar (desirable)
