Job description

In the role of Correspondence Coordinator you will facilitate high-level divisional correspondence in conjunction with the Senior Correspondence Advisor and the broader correspondence unit. You will also assist with divisional records management activities as required.

Accountabilities include:

  • Coordinate, compile, edit and process the division's executive and ministerial correspondence, briefing notes, parliamentary requests and other correspondence relating to the division in a timely and effective manner.
  • Prioritise incoming documents and relay promptly to divisional action officers for the preparation of draft replies in accordance with corporate standards and protocols.
  • Monitor the standard of divisional correspondence for timeliness, content and standards in accordance with government and departmental policies. Monitor responses for these issues and negotiate changes as necessary.
  • Liaise, consult and maintain effective relationships with team members, and internal and external clients.
  • Deliver tasks and activities individually or as a team member, with an emphasis on meeting deadlines within quality and time constraints.
  • Participate in capability development activities required to perform efficiently and effectively in the role, and assist other team members to develop new capabilities as required.
  • Monitor systems and processes to ensure the division meets deadlines for executive and ministerial correspondence.
  • Actively participate in performance conversations to build and support a culture of performance improvement.
This position reports to the Senior Correspondence Advisor.
