Overview:
We are seeking a highly organised, detail-oriented, and relationship-focused individual to join our team as a Production Coordinator at our location in Melbourne's north. As a vital member of our team, you will play a key role in facilitating the smooth and efficient delivery of projects and operations by ensuring effective communication between various departments and external stakeholders.
Responsibilities:
Project Coordination:
- Coordinate and manage all aspects of set building projects from inception to completion, including fielding enquiries, collaborating on quotations, scheduling projects and crew, and overseeing install and delivery logistics.
- Collaborate with clients and internal departments to develop project timelines and schedules.
- Ensure that projects are executed within established timelines and budget constraints.
Resource Management:
- Schedule and allocate resources, including manpower, materials, and equipment, to meet requirements for projects and internal operations.
- Liaise with suppliers to procure necessary materials and equipment in a timely and cost-effective manner.
- Liaise with building and finishing departments to monitor inventory levels and coordinate replenishment as needed.
Team Leadership:
- Supervise the production team to ensure adherence to project specifications and quality standards.
- Foster a positive and collaborative work environment conducive to creativity, productivity, and wellbeing.
- Conduct regular team meetings, briefings, and debriefs to review project progress, address challenges, and identify opportunities for improvement.
Quality Assurance:
- Conduct inspections to ensure that all set pieces meet quality standards and specifications.
- Implement corrective actions as necessary to address any quality issues or deviations from project requirements.
Communication and Documentation:
- Serve as the primary point of contact for internal and external stakeholders regarding project updates, scheduling, company policies, and other relevant information.
- Maintain accurate and up-to-date project documentation, including calendars, staff rosters, project tracking boards, schedules, and budgets.
- Facilitate effective communication between departments to ensure seamless coordination and collaboration.
Skills/ Qualifications:
- Bachelor’s degree in theatre production, set design, project or stage management, or a related field preferred.
- Proven experience in production coordination/management, preferably in a set building or events industry. Strong organisational skills with the ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
- Proficiency in project management software and Google Workspace (Monday.com and Connecteam as added advantages).
- Knowledge of construction techniques, materials, and safety protocols.
- Knowledge of Project Management techniques.
- Knowledge of CAD and Graphic Design software preferred but not essential.
