Inco Ships is a wholly Australian-owned Ship Management company which specialises in providing tailored ship management solutions. Our focus is primarily on operations in the Australasian region, with some international operations, and managed from our North Sydney Head Office. The head office leads and supports a growing fleet of vessels with oil tankers, bulk carriers and MPP vessels.
POSITION PURPOSE
Reporting to the Human Resources Manager the Crew Coordinator/QA Administrator assists in the smooth operation of Human Resources, Payroll and HSEQ requirements for the crew onboard Inco Ships Vessels by liaising with the Vessel Managers, Payroll, ship-based employees, and manning agencies.
KEY ACCOUNTABILITIES
- Develop and maintain Crew rosters in accordance with shipping schedules
- Manage crew availability and leave calendars
- Recruitment and sourcing of candidates
- Preparation of employment contracts and letters of offer
- Organising company pre-employment medicals
- Organisation of travel details for employees
- Database maintenance of crew, swing details and training (NSE, M Files and LITMOS)
- Preparation of time sheets and fortnightly payroll processing
- Ensuring details of certificates are valid and correct for crew
- Organise training courses and maintain register
- Administration of Safety Quality System (M-Files)
- Administration of vessel statutory and regulatory certification
- Arrange Management Review Meetings and minute taking
QUALIFICATIONS
- Prior experience within a high-volume rostering/scheduling, administration and data entry role
- Flexibility to adapt to a constantly changing environment and a willingness to learn
- Excellent verbal and written communication skills
- Excellent time management and organisational skills with the ability to work cohesively within a team and autonomously
- Experience in a shipping operations desirable
Hours of work
- This position is 15 hours per week - in office
