We are seeking a skilled Document Controller to join our Bowen Rail Team with an option to be based in either Bowen, Townsville, or Rockhampton Offices. Reporting to the Quality Principal, this role is responsible for ensuring a robust document control system, processes, and governance. The Document Controller plays a key role in supporting Bowen Rail Company in meeting all its obligations through proactive management of systems, registers, databases, and processes across all functions of BRC.
Key Accountabilities:
- Safety Leadership: Set the standard for safety. Demonstrate safety leadership in line with the values. Set and manage performance and develop objectives to ensure safety improvements are always a priority.
- Optimisation of the Document Management system and processes based on best practice principles as part of continuous improvement.
- Effective Document Control services within the organisation, ensuring the timely and accurate receipt, registration, distribution, and retrieval of all documentation.
- Ensure compliance with processes and systems in the exchange of accurate documentation with the clients, contractors, vendors, and suppliers.
- Contribute to the development, delivery, and continuous improvement of reporting which reflects the diversity and operations of Bowen Rail Company (BRC).
- Ensure the classification and handling of documents are adhered to in line with agreed protocols.
- Ensure assurance processes are conducted in compliance with all regulatory, legal, and business requirements.
- Develop and administer the Electronic Document Management Systems (EDMS) for BRC.
- Ensure that BRC has a secure system for the retention of documentation that is transparent and utilised by stakeholders.
- Provide stakeholders with training, guidance, and assistance on matters relating to document management.
- Ensure currency of critical documents by managing the document version, review, and approval process.
- Engage with stakeholders at all levels, both internal and external, to ensure document control requirements are met whilst managing expectations via efficient and effective communication.
- Ensure the adoption and application of Document Control practices in all areas of BRC.
- Consultation with stakeholders, to address customer and business needs.
Our Ideal candidate will bring the following to the role:
- Extensive experience in Document Control roles, working within complex operations
- Advanced comprehension and implementation of various document control platforms and document tools (including Microsoft products).
- Computer proficient (Advanced Microsoft Office, systems).
- Excellent communication (oral and written) and professional presentation skills.
- Ability to commute across Bowen Rail Company site locations to support operational requirements
Desirables:
- Detailed knowledge and experience using EDMS e.g., SharePoint, Aconex, etc.
- Knowledge and comprehension of Quality and Safety management systems and standards.
- Knowledge and comprehension of regulatory and legislative requirements specific to rail, mining, and construction including acts, regulations, and accreditations.
- Knowledge of Project and Change Management systems.
- Tertiary qualification in Business, Project Management, or other related disciplines.
- Current Open ‘C’ Class Driver’s Licence.
