About the role

The Enterprise Portfolio Management Office (EPMO) operates at a strategic level in collaboration with executives to ensure all projects, programs and portfolio activities align with enterprise-wide objectives. The EPMO provides:

  • an enterprise-wide project delivery support function
  • standardised processes, templates, systems and tools
  • governance and assurance to minimise overall risk exposure
  • coaching and mentoring to the project delivery community to create one way of working.

The Portfolio Partner team:

  • support enterprise project delivery
  • facilitate the development and ongoing management of an optimised portfolio
  • ensure senior management decisions lead to the achievement of WorkSafe's strategic plan deliverables through the delivery of programs and projects.

The EPMO Coordinator reports to a Senior Portfolio Partner and is responsible for providing project support consistent with the WorkSafe Enterprise Delivery Framework. This includes implementation of financial management, project reporting, asset management, procurement, dependency management and risk/issue management. Key accountabilities of the this role include:

  • Information gathering and project planning activities to ensure the project is set up to be managed according to approved methodology and framework.
  • Providing support to governance activities and the maintenance of project controls. This includes schedule maintenance, monitoring project deliverables, risk, issue and dependency management.
  • Establishing and maintaining project documentation management, including the transition of all project documentation to operational teams at project completion.
  • Assist with development, preparation, collation and coordination of project, governance and meeting papers.
  • Financial and vendor management administration, including purchase orders and prompt payment of invoices.

About you

You are an experienced EPMO Coordinator, tech savvy, have the ability to pick things up quickly and hit the ground running. This role requires demonstrated experience within a large transformation program, working within a complex organisation with varied stakeholder groups.

You have a passion to contribute to a culture that promotes alignment to values and human centered design. Additionally, you will be able to demonstrate the following attributes and experience:

  • Highly organised; be able to work across multiple projects simultaneously
  • Ability to work independently and proactively to achieve outcomes
  • Ability to proactively promote and drive continuous system and process improvements
  • Ability to provide guidance relating to Portfolio, Program and Project management, assurance and governance
  • Communication, stakeholder management and interpersonal skills including coaching, facilitation, influencing, negotiation and liaising skills, and the ability to adapt these to a diverse range of stakeholders and contexts.
  • Experience with project and program level status reporting and PPM tools
  • Ability to influence and guide staff at all levels of seniority.
  • Significant project lifecycle experience understanding the planning and delivery of projects in their entirety including experience in PRINCE2, PMBOK, Waterfall and Agile delivery methodologies.
  • Highly competent in in use of MS Office (Word, Excel, PowerPoint, Visio, Project) and understanding of an IT software development life cycle
