About Fleet Space Technologies
Fleet is a space-enabled exploration technology company on a mission to dramatically accelerate the discovery of critical minerals needed to decarbonize our global economy.  Electric vehicles and other clean energy technologies are vital elements of the world’s efforts to combat climate change, and these will demand many times more critical minerals than today, with an incremental value of over USD $13 trillion.  At the same time, finding new mineral deposits is becoming more challenging as we increasingly exhaust the supply of shallow deposits and are forced to explore deeper underground.  Traditional exploration methods are poorly suited to address this challenge, so a new approach is needed.
 
Our approach is to combine space technology, proprietary seismic sensors, cutting edge Ambient Noise Tomography, and machine learning to provide the world’s first scalable 3D exploration dataset with near-real-time insights to guide active exploration programs far more efficiently to new deposits.  This is Fleet’s flagship product, ExoSphere - a space-enabled solution for mineral exploration in real-time, in 3D, and under cover with very low environmental impact.  Since launching ExoSphere in March 2022, Fleet has signed contracts with over 30 clients including Rio Tinto, Barrick Gold and Core Lithium and completed over 120 Ambient Noise Tomography surveys, more than any other company in the world.
 
As part of Fleet’s founding vision to connect the Earth, Moon, and Mars, we also apply our technology to innovative solutions for defense and space exploration, including an upcoming mission to the Moon.  Headquartered in Adelaide, South Australia, Fleet has rapidly grown to over 100 employees including a growing team in the USA, Canada, Chile and beyond.  We have raised over AUD $85M in venture funding, backed by premier investors including Blackbird, Grok, and In-Q-Tel.

The Role
Fleet Space Technologies continues to grow on a global scale, expanding across numerous industry verticals including Critical Mineral Exploration, Defense/Communications and Space missions to the Moon and beyond.  Flavia Tata Nardini is co-founder and CEO of one of Australia’s most exciting space startups.  A real-life rocket scientist, former propulsion test engineer at the European Space Agency, Flavia has worked across a broad range of innovative space projects, and in 2023 was named Female Space Leader of the Year! We are actively seeking an experienced Executive Assistant to play a critical role, concentrating on the CEO's daily operations and mid-term planning. This role is fundamentally about optimising Flavia in key business areas and enhancing productivity through effective time management. The paramount duty of this position is to defend Flavia’s time from any unnecessary encroachments. It requires utmost discretion and confidentiality, especially when operating within the bounds of sensitive company information.  Flavia is high-energy, fun, and action oriented…you don’t want to miss this opportunity! 
 
To be successful in this role, you will need to demonstrate strategic thinking, whilst having the agility to manage and influence internal and external executive-level stakeholders. The role requires strong commercial acumen, a deep understanding of our business, and EQ led negotiation skills. You will demonstrate the strategic agility to look longer term whilst working with key stakeholders to evolve the way we interact and operate today across the C-suite and beyond.  Thus, success at Fleet is all about team, cohesion, positive proactivity, continuously learning, and inspiring with an explorer’s spirit.  
 
 
Location
This role must be based from our global Headquarter office in Adelaide, South Australia.

Main Responsibilities 
This role will be responsible for, but not limited to:
  • Managing Schedules: Organise and maintain the executive's calendar, including scheduling internal meetings and managing complex domestic and international travel arrangements.
  • Email and Correspondence: Handle incoming and internal emails and mail, including drafting letters and documents, and preparing communications to be sent on behalf of the executive.
  • Meeting Preparation:
  • Arrange logistics for meetings, prepare agendas, and take minutes, including the ability to run high impact strategy meetings.
  • Set up Action Items (AI’s) and ensure follow-up with team members.
  • Prepare for monthly company sessions.
  • Project Management: Assist in managing cross-functional projects, track progress, and coordinate with team members, ensuring diligent timing and sequencing of activities.
  • Reporting: Prepare reports and presentations, often involving analysis and research and leveraging leaders for their inputs.
  • Liaison Role:
  • Act as a point of contact between the executive and other staff or external contacts/visitors.
  • Specific tasks and responsibilities to support leadership team operations and team administration on Fridays.
  • Foster and drive forward a collaborative “one-team” environment between your areas of responsibility and other stakeholders
  • Ensure an inclusive, enabling, continuous improvement, and high-performance culture through engagement activities and ongoing feedback and development
 
Key Skills and Required Experience
  • Proven experience as an Executive Assistant or similar administrative role.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in project management and scheduling tools.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal skills for interacting with diverse groups of people.
  • Detail-oriented with a proactive approach to problem-solving.
  • Capacity to work under pressure and meet deadlines.
  • Must have full working rights in Australia
Desirable Attributes:
  • Experience supporting a CEO or similar Senior Leader, for at least 5+ years.
  • Familiarity with fast paced and technology lead organisations and their' operations.
  • Ability to anticipate needs and act independently, can connect the dots and see what comes next.
  • Experience in a global position, or global logistics/travel experience highly desirable.
