An opportunity is now available for an experienced Executive Office Administrator to join the Executive office team based on Hamilton Island.
This position plays an integral part of the team providing a high level of centralised management and support for key areas of the Executive Office as well as professional support to the Chief Executive Officer (CEO).

The Role
Working closely with the CEO, Director of Executive Operations and Legal Counsel, you will be required to demonstrate great interpersonal and strong communications skills – as well as being a good problem solver and able to work within time frames.
Primarily responsible for diary management, event assistance, organising travel, administration tasks, management of databases and registers, annual audits and permit compliance.
As well as:
- Provide a high level of administrative support to the CEO and Legal Counsel in relation to (but not limited to) property transactions, insurance, risk issues, minor works approvals, Temporary Vehicle Permits and contractor ID’s, property owner communications and required follow up documentation
- Administrative assistance with regard to the development of contracts, agreements, deeds and preparation of title documentation
- Provide support to CEO and Legal Counsel in regards to projects or other duties as required
- Assistance with updating and maintaining community and development website page and content
- Monitor email inbox and assist with answering enquiries from property owners, developers and builders
- Action payment of invoices as required (including obtaining necessary approvals)
- Maintain the operations of the Executive Office
- Manage Executive Office credit card and city ledger accounts
- Assist in compiling information for regular reporting requirements e.g. BPI Board papers, month end major capital projects reporting process
- Workforce rostering and timecard approvals for the Executive Office
About you
You are a solutions driven professional with a friendly and approachable persona, excellent communication and interpersonal skills and a high attention to detail.
You will also have:
- HSC, Diploma in Administration (or similar)
- Minimum 5 year’s experience in an independent administration role
- Advanced skills in Microsoft Suite
- Experience in a legal, planning or corporate office environment (Desirable)
