The Executive Assistance/Administration Officer is responsible for providing administrative support to the Squash Australia office.
KEY RESPONSIBILITIES
- Coordinate administrative activities to ensure day to day operational needs are met
- Answer all incoming calls, correspondence and email enquiries
- Greet visitors to the office and offer hospitality as appropriate. Advise relevant staff of the arrival of visitors to the office
- Organise catering for functions and maintain kitchen supplies
- Organise meetings and appointments
- Ensure that the SqA office is safe, clean and maintained to high standards at all times
- Assist with the coordination of major events including:
- Organise travel and accommodation for teams and officials.
- Organise merchandise
- Distribute correspondence
- Assist with administration orientation/induction visits of new staff
- Manage and maintain the diary of the CEO and make travel and other related arrangements where required
- Provide specific administrative support to the CEO and general support to all office staff, attending to, and/or arranging the following:
- Word processing
- Telephone calls and messages
- Processing of mail
- Information dissemination to all relevant staff
- Photocopying and collating
- Maintain office filing systems
- Update and maintain a supply of office forms
- Booking of maintenance and service of office equipment
- Room bookings, office equipment bookings and vehicle bookings as requested
- Archiving documents and client files where directed
- Maintain office stationery and printing requirements and order as required
- Arrange for couriers as required
- Finance Support
- Receipting of monies as required
- Accounts Payable & Receivable
- Responsible for merchandise, including:
- Process all merchandise sales and dispatch to the customer
- Check on levels of merchandise and order if necessary
- Keep merchandise cupboard and store room tidy
- Conduct inventory check every month to ensure stock matches Xero reports
EXPERIENCE & QUALIFICATIONS
- Excellent interpersonal skills and good written and verbal communication skills
- Ability to work independently as well as part of a team
- Good organisational skills
- Ability to prioritise workload
- Experience in an office environment with exposure to reception and broad administration duties
- A professional telephone manner
- General proficiency with computers and comprehensive skills in Microsoft Office applications, in particular – Word, Excel, Outlook
- Proficiency in the use of general office equipment
- A current driver’s license
HOURS OF WORK
The role is a permanent part-time role - 25 hours per week. Mon - Fri 9am - 2pm. The role is based at the Squash Australia Head Office in Milton, Brisbane.
