The Office of the Chief Executive Officer (CEO) provides high level support to the CEO on TIQ's key business priorities and activities to ensure that the performance is consistent with TIQ's strategic direction.
Your opportunity
Reporting to the Director, Office of the CEO, you will be responsible for providing high quality executive administration support to TIQ's Chief Executive Officer (CEO) and the Chair of the Board. You will also be required to be the interface between the CEO and the Minister's Office, TIQ's core business groups, stakeholders and clients.
Your contribution (key responsibilities and accountabilities)
To be successful in this role you will:
- Deliver high quality executive advice, support and co-ordination for the CEO (and Chair of the Board) including diary management, email inbox management, and other administrative duties as required in a fast-paced and sensitive work environment.
- Proactively manage:
- all travel arrangements (domestic and/or international) for the CEO and Chair of the Board.
- the Office of the CEO shared mailbox and co-ordinate responses to requests (from internal and external sources)
- engagement across the organisation to ensure the CEO and Chair of the Board are prepared with briefings ahead of key meetings and engagements.
- the delivery and coordination of business events and projects.
- a range of administrative functions including purchase and payment of goods and services, credit card reconciliations and gift and lobbyist declarations
- Organise and prepare meeting or event briefs, speech notes and diary packs that are provided by the Executive Services team for the CEO and/or the Chair of the Board
- Review, prioritise, direct and delegate a wide variety of complex and confidential requests that are presented to the CEO for consideration.
- Summarise, prioritise, and research information as requested into a concise and usable format for the CEO's review.
- Respond or redirect confidential inquiries from external or internal sources.
- Assist the CEO in the management of sensitive and confidential projects by managing information and processes discreetly.
- Manage specific projects assigned by the Chief Executive Officer, Chair of the Board and the Director
- Display exemplary relationship management and communication with Ministerial staff, TIQ Executive Leadership Team, Board, senior management and Brisbane-based, regional and overseas staff, key external stakeholders, other Queensland Government agencies to ensure effective integration, co-ordination and liaison occurs.
- Supervise the Executive Support Officer within the Office of the Chief Executive Officer to deliver high quality confidential executive administration support ensuring coverage of a small, fast paced office.
- Enhance the performance of the business support team by actively practicing and promoting excellence in service delivery and identifying opportunities for improvement.
