Purpose of the role
The purpose of this Family Room Coordinator role is to oversee the coordination of the Volunteers & Family Room in our Family Room located in Sydney Childrens Hospital Randwick managed by RMHC Sydney.
The position monitors performance, implementation of recruitment, orientation and ongoing recognition and training of all volunteers, delivery of programs to ensure best Family Centred care and service delivery models are met and management of facilities.
It will include some community engagement responsibilities as identified by the Head of Fundraising & Marketing Chief and supported by the fundraising team.
There will be some weekend or evening hours required to run orientations or training sessions and to attend recognition events so flexibility is important.
It is a full time role with no work from home opportunity.
The position is supportive and responsive to meeting the requirements and needs of a network of families, volunteers, community, management and staff.
- Advertises and recruit suitable volunteers including initial screening and information sessions.
- Ensuring a thorough orientation and shadow shift trial period for all volunteers.
- Manages a volunteer roster to cover necessary shifts
- Uses the Better Impact CRM.
- Supports regular volunteer training.
- The supply and training of volunteers for specific local run events.
- Regular and ongoing volunteer communication via a communications plan.
- Implement and ensure an adequate volunteer handover of shifts.
- Assists with coordinating annual volunteer recognition event and Christmas event.
- Ensures 100% compliance to our Safeguarding Children requirements
- Liaise with appropriate hospital staff to ensure maximum use of the Family Room/s. Eg, social work team, NUMs, patient friend.
- Identify and rectify all facility maintenance requirements and inform the Volunteer & Family Room Manager.
- Ensure the Family Rooms meet all RMHC operational requirements, licencing and lease agreements.
- Reporting as required to RMHC, RMHC Global and RMHC Sydney Board.
- Aligning and adhering to the RMHC Family Room Quality & Standards
- Align to Family Rooms and Volunteering budget.
- Bi-Monthly Board reports, as requested.
- Report monthly statistical data of Family Room usage.
- All volunteer data and rostering are entered and managed in Better Impact (CRM) system
- Ensuring all donations are provided to Fundraising for entry into Salesforce database and thankyous sent.
- Accurate record keeping of all volunteer applications and paperwork.
- Completes necessary legal requirements with/for volunteers including WWCC and NCRC’s in timely manner.
- Volunteer satisfaction surveys implemented.
- Establishing and maintaining a high performing team of volunteers.
- Building responsive, collaborate and well-connected relationships with multiple internal and external stakeholders.
- Promoting and maintaining a culture of child safety within the Chapter; ensuring that all concerns and allegations are acted upon and that recruitment, supervision and monitoring practices (of volunteers) are consistent with the safety of children.
- Experiencing a broad range of HR Activity eg. Recruitment, induction, training, knowledge sharing, coaching and development, performance management and succession planning of the volunteer team.
- Experiencing a variety of crisis and conflict management situations including the management of complaints.
- Ensure volunteers and families adhere to all relevant procedures and policies.
- To raise the profile and promote the role of the Chapter to individuals, community groups & Hospital through various means of online, print and media communication.
- Communicate with a cross section of the community and those from culturally and linguistically diverse backgrounds.
- Act as a Safeguarding Children and Young Adults Ambassador and WHS Ambassador.
- Consistently demonstrate behaviours in accordance with the RMHC Code of Conduct.
- Liaise with and support other RMHC Chapters as/when required.
- Ad-hoc projects and tasks as requested by the Volunteer & Family Room Manager.
- The House Chapter must identify and comply with relevant State or Territory Laws including the Commonwealth or State/Territory legislation on:WHS, workplace harassment, victimisation and bullying; anti-discrimination, including racial vilification, disability discrimination; vocational education and training; and apprenticeships and traineeships.
- Assist to identify hazards, assess risk and implement control strategies to minimise risk of injury to people and property.
- Encourage consultation in addressing safety issues.
- Be a positive contributor and advocate on safety information and training, when necessary.
