As the Clinic Co-Ordinator, you will play a crucial role in ensuring the smooth and efficient operation of our clinic including:
- Managing all incoming patient enquiries in a professional, warm, and friendly manner.
- Meeting & Greeting patients.
- Managing patient bookings optimally
- Managing and recording all transactions
- Supervising clinical staff
- Managing day to day running of the clinic in smooth and co-ordinated manner
- Achieving clinic targets and KPI’s

Qualifications & experience
- Minimum two years previous experience in a similar position (in Medical, Cosmetic Surgery or Dermal Therapy fields).
- Immaculate grooming and presentation as you will be the face of the clinic.
- Leadership qualities.
- The ability to multi-task in a demanding environment.
- Excellent communication and time management skills.
- Excellent computer skills
- Flexibility to work flexible shifts including weekends and peak busy periods during summer.
- A deep understanding of Customer care.

Tasks & responsibilities
•Ensuring premium client experience and journey first and foremost; providing the utmost in service and support to them at all times.
• Support the clinical team by ensuring smooth appointment operations.
• Making, rescheduling, confirming, and cancelling appointments, optimising the appointment book accordingly to maximise the business opening hours and clinical team.
• Process payments, handle cash confidently, issue refunds, and reconcile end-of-day banking.
• Promptly manage clinic emails, addressing client inquiries related to skincare, appointments, reactions, and feedback.
• Handle phone calls professionally, providing knowledgeable information about treatments and products.
• Create a calm and seamless client experience, maintaining a friendly atmosphere.
• Uphold 5-star standards in client areas, collaborating with the team to ensure no area is overlooked.
• Manage stock control, including reconciling, ordering, and updating stock in the system.
• Offer retail product advice with confidence in product knowledge and ingredients.
• Address client feedback, including treatment and product reactions, and overall customer satisfaction.
• Handle end-of-day banking, manage cash, card, and online payments, resolve issues, and ensure balanced transactions.
• Perform opening and closing procedures for the clinic.
