About the organisation  

Southern Peninsula Community Support (SPCS) is an Emergency Relief charity covering the Southern Mornington Peninsula. SPCS is committed to building a strong and equitable community for all through providing personalised crisis support for vulnerable individuals and families who are experiencing disadvantage in our local community.

SPCS is staffed by a team of committed and skilled volunteers, and a small team of paid workers. SPCS is trialling a new paid position of Fundraising Relationship Coordinator for the purpose of generating long term sustainable philanthropic income streams. 

As a place based, direct service delivery charity SPCS has grown its philanthropic income substantially in recent years by building strong relationships with our local community. Those relationships include significant donors, community groups, trusts and foundations, as well as individuals who care about the welfare of vulnerable people living on the Southern Mornington Peninsula. 

At our service delivery level, we focus on filling the gaps in support due to insufficient funding from government, as a result we have developed a number of innovative programs whose continued success depends on growing our philanthropic base into a long-term sustainable source of income.

Position Summary 

The Fundraising Relationship Coordinator will drive the acquisition, engagement, management, and retention of SPCS’s donors and supporters. The role focuses on developing and implementing a long-term strategy and stewardship program for significant donors, community groups, trusts and foundations, and cultivating and nurturing new and existing relationships with donors. 

The role is responsible for demonstrating donor impact, donor care and making appropriate solicitations. The aim of the role is to coordinate and grow SPCS’s fundraising portfolio resulting in increased fundraising income (untied and tied) for the organisation.

Position Context and Objectives: 

This is an exciting opportunity for a passionate fundraiser to join a highly skilled and dedicated group working hard to support some of the most vulnerable people in our community. 

Southern Peninsula Community Support is on a journey of growth. To support this growth, SPSC is looking for an experienced, talented fundraiser with at least three years under their belt who is ready to step up and take on more responsibility. 

You will be an all-rounder having had successful experience in achieving growth targets in a range of fundraising programs (preferably a minimum of 2 programs). Of these programs you would have worked managing relationships with donors or supporters. 

SPCS is an organisational member of the Fundraising Institute Australia (FIA), this position will need to comply with their Code of Ethics. SPCS will consider an individual membership to FIA and professional development training should you also need it.

The Fundraising Relationship Coordinator will deliver the SPCS’s fundraising programs including donor appeals, regular giving and donor care programs that are delivered via direct mail and digital streams. This role also includes writing fundraising materials, grant applications, writing reports and acquittals, analysing program success and preparing operational planning documents.

The successful candidate will have excellent interpersonal skills, take accountability for their work outcomes and be able to form and maintain strong relationships; all essential ingredients to working collaboratively with donors and other organisations to achieve common goals.

Responsibilities:  

  • Develop annual operational plans for all fundraising programs and assist the CEO with fundraising strategy. 
  • Coordinate and manage our direct marketing agency around the integrated direct mail and online appeals program. Coordinate and manage fundraising donation pages and the online engagement cycle for new supporters.
  • Generate content for online appeals, donation pages, engagement cycles, and advise on supporter journeys.
  • Actively participate in the development, writing, and submission of grant proposals and funding requests to philanthropic trusts and foundations, and private ancillary funds.
  • Analyse the performance of fundraising programs, conduct reviews, and write annual performance reports to support annual plans. 
  • Prepare data selection briefs for extraction of data for all fundraising programs.
  • Organising meetings and events for the significant gifts programs when needed. 
  • Manage supporter relations activities and materials, such as regular giving welcome packs, donor care and tax receipt letters and emails. 
  • Delegate to and supervise volunteers associated with the fundraising program where required. 
  • Under the guidance of the CEO write fundraising materials including online appeals and donation pages, thank you letters, fundraising related web content and supporter relation correspondence. 
  • Coordinate bequest communications and liaise with supporters interested in leaving a gift in their will.

Service System Development

• SPCS uses Salesforce as its fundraising database, the position will coordinate its development to support fundraising programs.

• Maintain accurate supporter records and collect data according to funding requirements.

• Uphold the SPCS’s mission and your role in creating positive outcomes for the unique and valued client group together with other team members, SPCS staff, external providers and members of the community.

• Engage comprehensively with all SPCS programs and program staff.

• To meet reportable deadlines with high quality work outcomes.

• To manage all tasks associated with this position in the context of participation in regular supervision, debriefing, training, and team building activities.

Key Selection Criteria

  • A minimum of three years fundraising experience in a Not-for-Profit environment.
  • Experience in soliciting significant gifts from donors, trusts and community groups.
  • Experience in the stewardship of donors (donor care).
  • Experience coordinating direct marketing fundraising appeals and donor recruitment programs, preferably both direct mail and digital options.
  • Experience in using a dedicated fundraising database.
  • Demonstrated ability to improve program performance and associated revenue. 
  • Understand the set-up and use of emails in a system like Mailchimp or equivalent and ability to use basic multi-variate testing for tracking and optimization purposes. 
  • Excellent communications and writing skills. 
  • Demonstrated ability to analyse and report on fundraising programs to confirm or identify alternative approaches to improve program performance.
  • Demonstrated ability to develop operational plans, fundraising appeal briefs.
  • Experience in setting income targets and managing a budget to meet them. 
  • Self-motivated, energetic, focused, team player willing to learn, solve problems and expand their fundraising knowledge.
  • Excellent time management, task management and organisational skills. 
  • Intermediate skills at Microsoft Word (i.e. mail merge) and Excel programs (i.e. calculations, formulas and basic manipulation of the datasheet). 
  • Ability to carry out fundraising activities – travelling and accessing different areas of the Southern Mornington Peninsula.
