About You

As we work towards having a truly global footprint, we're seeking a proactive professional to serve as the backbone of our operations, supporting our leaders across Australia, Asia and the Americas. Your role isn't just about administrative tasks; it's about being the driving force behind our collective vision. You'll be at the forefront, liaising with key stakeholders, orchestrating seamless coordination and ensuring every detail aligns with our ambitious goals. This is a chance to be an integral part of our Schlam’s ongoing success. 

Reporting to the Executive Chair and Group CEO, this is a pivotal role actively engaging with internal and external stakeholders whilst providing comprehensive administrative support to the Leadership Team; planning, coordinating and managing competing deadlines.

Your day-to-day deliverables

  • Primary point of contact for the Executive Chair and Group CEO and the Leadership Team, building rapport and establishing strong relationships with internal and external stakeholders
  • Manage calendars, emails and correspondence with professionalism and discretion
  • Coordinate and schedule meetings, conferences, and travel arrangements, ensuring all logistical details are organised and executed seamlessly
  • Prepare and edit correspondence, presentations, and reports for internal and external distribution, maintaining a high standard of accuracy and professionalism
  • Assemble Board reports and take Board minutes of meetings
  • Assist in the planning and execution of corporate events, board meetings, and other special projects as required
  • Conduct research and gather information on various topics to support decision-making processes and strategic initiatives
  • Manage confidential information with the utmost discretion and integrity, maintaining a high level of confidentiality at all times
  • Collaborate closely with other members of the executive team and department heads to facilitate cross-functional communication and alignment of strategic goals
  • Handle ad hoc administrative tasks and projects as assigned, demonstrating flexibility and willingness to adapt to evolving priorities eg credit card reconciliation through to preparing Group presentations for internal and external purposes

You will have

  • A minimum of five years proven experience in an Executive Support role, preferably supporting C-suite executives in an agile and dynamic working environment
  • Exceptional organisational and time management skills, with the ability to prioritise tasks effectively and meet tight deadlines
  • Effective verbal and written communication skills with a professional rapport building approach
  • Highly proficient in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Adobe suite and other relevant software applications
  • Ability to maintain confidentiality and handle sensitive information with absolute discretion 
  • Strong attention to detail and accuracy with a commitment to delivering high-quality outcomes
  • Resourcefulness and initiative with the ability to anticipate needs and proactively address challenges as they arise
  • Adaptability and resilience with a positive attitude and the ability to thrive in a fast-paced dynamic working environment
