We are currently seeking an experienced Head of Administration to lead our administration team, supporting our services, governance, and logistics across ACT and Southern NSW region
Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:
Job Description
  • Management and development of the ACT & Southern NSW Region Administration and Facilities Management team and function, ensuring a consistent, proactive and high-quality administration service across the six offices in Canberra, Bega, Nowra, Wagga Wagga, Wollongong and Port Moresby (PNG).
  • Procurement and management of accounts including maintaining contract documentation for office services, maintenance and staff amenities.
  • Management of the office space requirements, including seating arrangements, office moves and/or fit outs, and allocating project/alliance team spaces.
  • Coordination of Administration and managing resources for project-specific support as well as the need for hands-on general administration support.
  • Involvement in the support of employee contracts whilst maintaining relationships to assist with administration coverage when required.
  • Cost management for administration-related expenditure across all offices to ensure spend is within scope of role and budget.
  • Provide leadership and direction to the Administration Team, and be accountable for day-to-day management, deploying resources, performance evaluation, training and development, engagement and staffing/resourcing decisions.
  • Coordination and support of employee events and functions ensuring correct approvals are obtained and HSE procedures are in place.
  • Plan, coordinate and execute various corporate and client events, ensuring smooth logistics and a memorable experience for attendees. Includes venue, catering, invitation, HSE and technical aspects.
  • Create or enable the development of engaging and informative content for regional newsletters, ensuring accuracy and alignment with company objectives.
  • Regularly update and manage content on the region website to ensure relevance, accessibility and compliance.
  • Offer comprehensive logistical and administrative support to the regional leadership team and executive staff based within the region, during on-site activities and engagements.
  • Facilitate visa and APEC card applications for international travelers, ensuring compliance and timely processing.
  • Plan, coordinate, and execute various corporate events, ensuring smooth logistics and a memorable experience for attendees.
  • Coordinate professional photo sessions for staff members, managing logistics and ensuring adherence to branding standards.
  • Manage orders and distribution of HSE/PPE equipment, promoting safety awareness and compliance among staff.
What you will bring to the team
  • Strong people management, leadership & influencing skills
  • Proven experience in Administration and Facilities Leadership
  • Advanced user of the MS Suite (Excel, Word, PPT, Outlook, Teams)
  • Excellent general administration skills
  • Strong Team Leadership and Mentoring skills
  • Ability to manage conflicting priorities and deadlines
  • Experience in managing business processes and systems
  • Demonstrate a high level of discretion, confidentiality, professionalism, & integrity
