Your new role
The primary purpose of the Information Coordinator role is to provide high level secretariat and administrative support directly to the Director of Passenger Transport, in addition to other unit managers and department staff.
The Passenger Transport team works in a fast-paced environment, managing multiple concurrent tasks and projects, which requires members to demonstrate initiative and problem-solving skills. A strong work ethic, reliability and the ability to work under pressure would be essential to be successful in the role.
Key duties and responsibilities:
- Provide administrative support, including word processing, diary management, arranging appointments, information management, call screening and directing the flow of communication for the Director, managers and staff
- Provide secretarial support in the coordination, preparation, review and tracking of requests for information, ministerial documents and briefs, including the management of the generic email account
- Arrange meetings and workshops, develop agendas, take minutes, and arrange business travel
- Arrange recruitment requirements through e-Recruit and provide a scribe service
- Code invoices using the NTGPay system
What you'll need to succeed
- Well-developed oral and written communication skills with the ability to adapt communication style and approach to meet the needs of different audiences
- High level computer literacy skills across the Microsoft Office suite
- A sound understanding of online electronic systems such as e-Recruit, PIPS, TRIPS, NTGPay and VBS, or similar electronic records, travel and finance systems
- Knowledge and experience in the implementation and delivery of administrative support services, the ability to see tasks through to completion, work under pressure, managing priorities and conflicting deadlines
- Ability to build and sustain positive relationships with team members and stakeholders and participate actively in teamwork
- Ability to maintain confidentiality and demonstrate tact, sensitivity and integrity in dealings with the public, employees and stakeholders
- Resilience in the face of challenging situations and ability to maintain a positive attitude at all times

This role is an AO3 designation. Salary range is between $64,773 - $69,746 + super, pa.
