Description:

We are seeking an experienced administrative professional to revamp our SharePoint platform for the purposes of our document and INFORMATION MANAGEMENT system and policy and procedure review.

This 3-month contract role requires you to refresh our existing INFORMATION MANAGEMENT framework to deliver a clear and organized structure for easy and consistent document creation, storage, retrieval, review and archive of electronic records.

In addition, we require project management services for the revamping of our policy, procedure and guideline document library.

The ideal candidate will have a strong background in information architecture, document management, and be an experienced SharePoint user.  A diverse understanding of industry standards for creating, storing, accessing and presenting information will be key to the success of the candidate securing the role.

Responsibilities:

  • Update our directory framework on our SharePoint platform for efficient document organisation and retrieval
  • Collaborate with teams to understand their document management needs and provide tailored solutions
  • Review version control guidelines to ensure document revisions effectively and comply with ISO:9001 requirements
  • Project manage a document review to audit, update, standardise the existing document library.
  • Create, implement and communicate document creation guidelines including pre-release review process, standardised naming convention and templates
  • Design and launch user-friendly fit-for-purpose templates in Word and PowerPoint and provide guidance on their usage to ensure consistency
  • Ensure documents adhere to the organisation’s corporate branding guidelines, maintaining a professional and unified appearance
  • Communicate, provide training and support users to ensure new guidelines are understood and followed

Requirements:

  • Previous experience in the creation and management of SharePoint Document Libraries and their use, with specific focus on library and document permissions, version control and document categorisation
  • Strong understanding of document management best practices, version control, and template design
  • High levels of attention to detail and the ability to work independently
  • Familiarity with corporate branding guidelines and the ability to enforce them within document templates
  • Advanced Microsoft Office skills including using styles and templates; tables of contents; dynamic content; interactive fields; and watermarks
  • An understanding of ISO:9001 QMS requirements
  • Excellent communication and collaboration skills.
  • Ability to train and support users effectively
  • Bachelor’s degree in Information Technology, Computer Science, or related field (desirable)
