  Administration Officer - Leadership Team Secretary

Commencement Date: Immediate start available
Employment Type: Term Time, Fixed Term until 24 January 2025 - 35 hours per week (school terms only)
Salary Range: SOF Level 5 - $37.17 to $38.98 Gross per hour + 12.75% Super 
Closing Date for Applications: 3:00pm, Friday 12th January 2024 

This position would be suited to a multi-skilled administration officer who works well in a fast-paced structured environment and has experience providing high-level secretarial support. Experience within a school or education sector is desirable but not required.

About the Role

This position supports the school Principal and Leadership team to ensure the smooth and efficient running of the school on a day-to-day basis.

Tasks include but are not limited to the following:

  • Providing high level administrative support to senior management of a school where discretion and judgement are required, including: taking minutes; organising appointments and diaries; initiating and handling correspondence (which may include confidential correspondence); monitoring telephone calls; and establishing and/or maintaining working filing systems.  Duties will include:
    • Managing the Principal’s daily calendar
    • Managing the Principal’s emails, including response to organisational communications on their behalf
    • Managing bookings related to Professional Learning including local, interstate and overseas travel
    • Ensuring that actions required by the Principal have been scheduled and followed up
    • Exercising high levels of trust and assurance of confidentiality in carrying out these tasks
    • Familiarity with and management of SIS products (IT Systems/databases) 
    • Coordinating with the Reception, Enrolments and  Communications Officer/s regarding PR, media and communications
    • Consulting with the Principal regareding documents, advertisements and website material
  • Providing administrative support during meetings (some out of hours work may be required).
  • Applying knowledge of advanced functions of computer software packages and to manage data ie modify fields of information; develop new databases or spreadsheet models; or graph previously prepared spreadsheets.
  • From verbal or rough handwritten instructions; answering non-standard executive correspondence, preparing papers, briefing notes, or other written material.
  • Timely management and response to emails.
  • Training and supervising staff classified at lower levels by means of personal instruction and demonstration.
  • Developing and maintaining business systems to ensure efficiency of service delivery.
  • Managing school publications including website maintenance, various forms of electronic communication and notes to parents.
  • Displaying competence, or willing to learn technology systems including eMinerva, Vpass, Page Up, Google Suite and other relevant systems
  • Working within the administration and Leadership Teams to assist with the preparation of special events at the school
  • Assisting the Workplace Health and Safety Officer for the school
  • Maintaining appropriate behaviours when engaging with children.
  • Organising and coordinating relief staff (some out of hours work may be required).
  • Liaising with external agencies and trades to support the maintenance of the school.
