Minicozzi Lawyers are seeking an experienced, proactive and motivated Legal Administrator to provide senior level support to their team of lawyers. This is an exciting opportunity in a fast-paced and high energy role full of variety.
This role needs an individual with a strong background providing high level administrative and client management support. We are looking for someone who enjoys taking initiative to identify the needs of the team and action tasks with limited need for direction.
Key Responsibilities
- Assisting solicitors in preparation of legal documents
- Filing correspondence and documents
- Communicating with clients, solicitors and other professionals
- Extensive diary management including booking client interviews, managing court dates and recording critical (e.g. limitation) dates
- Checking online for the court list to ensure the firm and client are prepared
- Meeting and greeting clients
- Maintaining Client Service Agreements
- Ensure filing is kept up to date on a daily basis, in chronological order with court documents properly indexed
- Take the initiative to return client calls if you can resolve the issue/query, keeping accurate file notes of all conversations with clients
- File closure procedures and archiving / retrieval thereof
- Word processing of documents
- Strong understanding of document management
- Editing legal documents, developing Briefs / presentations and conducting research
- Identifying and managing, problematic clients with diplomacy
- Extensive experience in a legal support role
- Strong knowledge of Microsoft Office Word, Outlook, and PowerPoint, with experience using digital dictation, expense management, and billing software
- A confident communicator with the ability to engage with varied client and stakeholder audiences
- Good written communication skills with strong attention to detail
- Proactive and comfortable taking initiative when faced with new challenges
- Strong organisational skills and ability to handle multiple priorities
- Demonstrate a high level of discretion and confidentiality at all times
- Be an effective team player and have strong interpersonal skills including confidence, positivity and the ability to gain credibility
