About the Role
Design and Placemaking branch (DPS) provide expert solutions in the planning, development and delivery of urban designs that will support and align to council’s vision and urban design and placemaking management
As Managers Assistant you provide professional and confidential secretarial and administrative support to the Manager Design and Placemaking Services and provide a point of contact for all internal/external customers.
Key duties include:
- Provide comprehensive and confidential support and assistant functions to the manager by:
- Delivering quality and timely responses to communication and correspondence
- Researching and analysing information in order to prepare correspondence, reports, agendas and minutes on behalf of the Manager and attend to follow up actions
- Prioritising appointments and meetings and appropriately schedule and maintain diaries
- Liaising with other staff, management and external service providers in an efficient and courteous manner
- Demonstrating well developed interpersonal and communication skills, including advanced skills in the use and understanding of computer system applications
- Work effectively as a positive member of the branch, supporting the team and ensuring quality customer service at all times
- Manage the finance functions of the Design and Placemaking Branch including reconciling purchase cards and raising/receipting purchase orders
The role is currently based in Caloundra but will be relocated to Nambour towards the end of 2022/early 2023.
About you
As an administrative professional you are experienced working in a highly professional team with confidential subject matter. You have demonstrated business acumen and ability to apply legislation, policies, standards, regulations and procedures relevant to the area of work.
You have strong time management skills and can prioritise tasks. You can work both independently and interdependently to ensure work tasks are delivered on time and to a high standard.
You are a strong communicator and have excellent customer service skills. You have a demonstrated ability to prepare standard business correspondence and use your initiative and sound judgement to guide customers and resolve problems.
You are proficient in relevant computer software, applications, systems, databases and mobile devices including Microsoft Office, electronic data content management, web publishing, customer management, property and/or financial and human resource systems.
