Key Responsibilities:
Administrative Support:
- Provide comprehensive administrative support to the Racing Administration team, including document preparation, data entry, and record maintenance.
- Assist in the organization and execution of administrative tasks related to racing events, such as registration, documentation, and participant communications.
- Serve as a central point of contact for internal teams, external vendors, and participants, facilitating clear and timely communication.
- Coordinate meetings, conferences, and appointments for the Racing Administration team, ensuring efficient scheduling and logistics.
- Maintain organized and up-to-date filing systems for documents related to racing events, including participant information, permits, and regulatory compliance records.
- Assist in the creation and distribution of event-related materials and documentation.
- Collaborate with various departments to ensure seamless logistical coordination for racing events, including facility bookings, equipment setup, and transportation logistics.
- Assist in the coordination of travel arrangements for staff and participants when necessary.
- Support the Racing Administration team in monitoring and tracking budgetary expenditures related to racing events.
- Assist in the preparation of financial reports and documentation for review.
- Proactively identify and address any administrative challenges that may arise during racing events, working collaboratively to find effective solutions.
- Maintain a keen awareness of timelines and deadlines to prevent and address potential issues promptly.
- Previous experience in Office Administration or event management is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with administrative software.
- Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal.
- Ability to thrive in a fast-paced and dynamic work environment.
- Knowledge or interest in racing events is a plus.
