Where the team fits in
REA is evolving how it leverages data and technology to deliver benefits for customers. PropTrack was acquired by REA in May 2018 and our purpose is to provide property data and valuations solutions to customers in the financial and government sectors. We are now looking for an experienced Operations Coordinator to maintain and improve our teams efficiency and capability.
What the role is all about
Full end to end management and support of all PTLT members, meetings/travel/claims
Management/co-ordination of events like town halls, monthly business updates, deep working sessions and more.
Event planning and management for leadership group functions
Management of PropTrack technology invoicing/approvals
Upholding PTLT agreed WoW with regards to meeting lengths/agendas/outcomes
Financial Month End tasks including tracking of adhoc invoices, reconciliation and editing of month end csv files, preparation of final financial monthly invoice file
Monitoring web inboxes and triage emails accordingly in our Hubspot CRM
Operational support for a wide variety of tasks including but not limited to sales operations team support, contract execution, set up of new customers, back end data delivery to customer, maintaining Risk and Data governance register and procurement management
Who we’re looking for
Someone with a few runs on the board as a an EA or in a similar role, supporting multiple executives
Adapt and thrive in an evolving environment
High proficiency in Microsoft Office (Word, Excel, PowerPoint and especially Outlook). If you have had exposure to Zoom, Slack and SharePoint that would be a bonus
Experience in diary management, crafting meeting agenda and taking minutes
Experience organising team meetings, events, and engagement activities for teams. Having experience in event management is a big plus
Ability to manage & accomplish multiple projects within set timeframes and budgets with little supervision
High attention to detail with strong written communication skills
Looks at tricky situations through a solutions-focused lens
Work productively in a fast paced and agile environment
Play an active role in the internal EA/TA community
Qualifications or study in progess for Business Management or similar would be advantageous
