Oracle Psychology is a busy child and adolescent psychology practice based in the beautiful heart of Newcastle’s CBD. Oracle Psychology specialises in the assessment and treatment of children, adolescents, and young people. Oracle Psychology is seeking an experienced Part-Time Receptionist /Administration support person to join our team—Part-time, 4 days per week (Monday through Thursday).
Within this role, you will perform front desk reception and administrative support duties. You will work closely with the Practice Manager and administration team to ensure every client’s expectations are exceeded.
Ideal candidates must have experience in the following areas:
- Reception experience within a similar specialist field or medical practice is essential
- Possess a warm, friendly, and caring nature
- The ability to deliver a high level of client care and customer service in a professional manner
- Outstanding communication and interpersonal skills
- Experience using PracSuite would be desirable but not essential, experience with a similar practice management software would also be considered.
- Well-presented and articulate
- Ability to work within a team environment and independently as required
- Be able to multitask and work well during moments of pressure and have the ability to learn and grow within this role
- knowledge of NDIS would be an advantage
- Have excellent time management
- Hold a working with children check or able to obtain
- NSW Police Check or able to obtain
Key responsibilities include, but are not limited to:
- Greeting clients
- Managing client inquiries via telephone or email
- Management of medical records and working effectively within a team environment
- Invoicing
- Providing assistance to the Director and Clinicians as required
- Diary management for multiple clinicians
- Invoicing through Pracsuite, processing payments and Medicare/Health fund rebates
- Printing, copying & scanning reports, receipts and other documentation
- Liaising with other health professionals both internally and with external agencies as required
- Scheduling clients from a waitlist
- Adhere to strict confidentiality protocols
- General administration duties, confirmations, email correspondence, tidying waiting rooms,
