Provenance Partners is dedicated to the long-term success of its team members. We are looking for a talented Practice/Administration Manager to join our dynamic, professional team.
The purpose of this role is to ensure the efficiency of the administration functions of the firm, to ensure that our job flow is managed and to manage support staff and ensure the directors administration is completed on a timely basis.
The Ideal candidate will have accounting or legal firm experience and be ready to hit the ground running, providing day to day operational support, working alongside accountants and lawyers and answer to an experienced professional team.
Duties
- Controlling and managing the firm workflow (Timesheets/WIP) to maintain the firm’s productivity and improve client work turnaround and satisfaction, timetabling work flow and managing Client Requirements and Tax & ASIC Timetables with the assistance of our team.
- Onboarding and offboarding clients.
- ASIC and ATO liaison, incorporation of new companies, and lodgements.
- ASIC and Corp Secretarial Client invoicing.
- Debtor/Accounts receivable and payable management; credit collection and billing.
- Management and further development of Practice Management Systems, IT Systems, Accounting Based Software Systems and IT Maintenance, in conjunction with the firm’s external third-party IT providers.
- Develop and maintain a register of the firm’s subscriptions, including a process for renewal approvals.
- Oversee all client administration related matters.
- Manage inbound & outbound mail.
- Front of house - Stationary orders, groceries, collecting mail, reception, greeting clients First point of contact for clients.
- Answering phones and provide general assistance to callers.
- Organising meetings and maintaining the office database.
Experience
- Accounting or legal firm background (preferable)
- Minimum 3-4 year experience as a PA or assistant manager
- Tertiary qualification in Business, Information Technology or relevant Business (preferable)
- High level of computer literacy, up-to-date MS Office knowledge
- Knowledge of XERO, Actionstep, Microsoft 365, FYI (preferable)
- Excellent verbal & written communication skills and inter-personal skills
